Simulated Participant Educator (SPE) & Administrative Coordinator Division: Academic Affairs Department/Office: Interprofessional Education Advertisement The Interprofessional Education Program at St. Catherine University invites applications for a full-time Simulated Participant Educator (SPE) & Administrative Coordinator position. This position provides administrative coordination for the Institute of Simulation and Interprofessional Learning (I-SAIL) and serves as the team's primary Simulated Participant (SP) Educator. The position coordinates all aspects of the human simulation program; plans and leads SP coaching sessions in collaboration with faculty and other key partners; serves as the primary point of contact for SPs; and provides SP prebriefing, event-day management, debriefing, and ongoing support. The position also supports healthcare simulation accreditation, simulation and interprofessional education (IPE) operations, departmental communications, program evaluation and quality improvement, annual collaboration events, the Annual IPE conference, and other I-SAIL initiatives. Duties will include Administrative Coordination for Simulation and IPE Manage simulation registration, IPE event registration, and sign-up processes Document and track simulation activities and IPE co-curricular activities Manage delegated departmental email accounts and route requests appropriately Complete PCard and out-of-pocket purchases and expense reconciliations for I-SAIL purchases. Coordinate departmental packages and mail Collect data and maintain organized electronic files and archives of departmental documentation Compile and upload materials supporting healthcare simulation accreditation Coordinate event logistics, including room scheduling, flyers, catering, sign-in processes, and continuing education certificate distribution Manage I-SAIL priority-designation spaces within the University’s event management system Build and distribute simulation and IPE surveys used to assess program outcomes Assist with evaluation data-management and quality improvement activities Assist with writing, formatting, proofreading, and distributing reports and outcomes, including annual reports, program-evaluation reports, and external marketing materials Collaborate with faculty lab manager to coordinate ordering of consumables across HSSHS and SoN programs Assist the IPE Director with IPE co-curricular scheduling Support updates to and management of the I-SAIL intranet site Produce and store meeting minutes for all meetings within the department (full department, committee level, advisory councils, etc.) Serve as I-SAIL’s primary SP Educator and principal point of contact for SPs throughout recruitment, onboarding, preparation, participation, and follow-up. Coordinate the full human simulation workflow, including SP outreach, recruitment, selection, matching, scheduling, confirmations, case-material distribution, and event follow-up. Plan, organize, and lead SP coaching sessions, co-facilitating with faculty, simulation specialists, or other key partners as appropriate. Collaborate with faculty and I-SAIL team members to clarify learning objectives, SP portrayal expectations, feedback responsibilities, boundaries, event flow, and performance expectations before coaching and events. Prepare and send clear, timely SP communications, including role offers, coaching and event details, case materials, maps, parking instructions, attire guidance, schedules, and required forms. Coordinate SP-related logistics, including rooms, meals and refreshments, parking, access, signage, consultant documentation and payments, supplies, and day-of arrival needs. Provide or coordinate SP orientation and prebriefing, including expectations, psychological and physical safety, confidentiality, boundaries, stop/pause processes, event flow, and feedback guidance. Manage SPs during simulation events by welcoming and checking them in, confirming readiness, maintaining schedules and room assignments, troubleshooting concerns, and coordinating with faculty and other I-SAIL team members. Support SPs with moulage, supplies, costuming, robing and disrobing, accessibility needs, and other role-specific preparations. Facilitate SP debriefing, de-roling, checkout, and follow-up after events, with support from other I-SAIL team members as needed. Coach SPs in providing learner-centered verbal or written feedback when feedback is part of the learning activity. Maintain accurate SP records, availability, participation history, training completion, payments, and other program documentation using approved systems. Gather feedback from SPs, faculty, learners, and team members and contribute to continuous improvement, quality assurance, and consistent SP methodology across I-SAIL. Promote an inclusive, respectful, accountable environment for SPs and promptly elevate concerns related to safety, boundaries, performance, or program quality. Order office supplies and materials supporting simulation and IPE programs. Order books, course materials, keys, and computers for faculty and adjuncts. Submit ServiceNow requests on behalf of the department. Provide copying and printing support for the I-SAIL team. Welcome and support students participating in I-SAIL events. Support technology, including Zoom rooms, for IPE co-curricular events. Pick up and distribute departmental packages and mail. Answer and route telephone calls and student inquiries. Minimum Qualifications Experience communicating effectively with diverse stakeholders through multiple methods, including email, telephone, virtual platforms, and in-person interaction. Experience facilitating training, orientation, coaching, or group learning activities. Experience handling sensitive and confidential information appropriately. Experience organizing, prioritizing, and completing multiple responsibilities within established guidelines and deadlines. Proficiency with Microsoft Office Suite and Google Workspace. Ability to learn and navigate information systems, databases, scheduling tools, and communication platforms. Ability to provide clear, constructive feedback and support participants before, during, and after learning activities. Ability to work collaboratively while independently managing assigned programs, communications, and event logistics. Preferred Qualifications Associate degree, bachelor's degree, or some college coursework. Experience in simulated participant methodology, healthcare simulation, standardized patient education, adult learning, training, or facilitation. Experience working in higher education, healthcare, or a community-engaged educational program. Experience supporting prebriefing, feedback, debriefing, or participant well‑being following emotionally or physically demanding learning activities. Familiarity with simulation standards of best practice, SP program operations, or healthcare simulation accreditation. Compensation Hourly wage is $20.42 - $28.59 depending on qualifications and experience. The salary range listed reflects a good‑faith estimate of what we reasonably anticipate to pay for this position, based on market data and internal equity, at the time of posting. Actual compensation will be determined based on qualifications, experience, skills, and other relevant factors.
