Contract Administrator

Contract Administrator Opportunity in Oakland, CA! Are you ready to take on a dynamic role in a vibrant city like Oakland, CA? We are looking for a dedicated Contract Administrator to join our team and manage HAZMAT compliance permit renewals, with additional responsibilities in Air and Water Quality tasks. This hybrid role offers the opportunity to work onsite at our Oakland office 2 to 4 days a week, depending on business needs. Responsibilities: Permit Coordination (75% of workload): Manage approximately 1000 permits/registrations issued by state and local agencies. Process permit fee payments in online payment systems. Respond to Environmental Field Specialist (EFS) queries regarding permit status. Resolve discrepancies through communication with EFS and regulatory agencies. Maintain and update permit records in Salesforce. Develop and maintain a permit invoice dashboard. Mail Management (15% of workload): Retrieve and scan incoming mail for all permit programs. Prepare and send outgoing mail as needed. Significant Compliance Obligations (less than 5% of workload): Coordinate annual payment of critical CDTFA tax payments. Special Projects Support (5% of workload): Provide general support for special projects and training. Backup for air and water quality permit tasks as needed. Requirements: Proficiency in Salesforce, SAP, and Microsoft tools. Strong verbal and written communication skills with internal and external stakeholders. General administrative skills: fee payment, tracking, records management, prioritizing work, nimbleness. Preferences: Experience in HAZMAT compliance and permit management. Local candidates preferred for ease of access to the Oakland office. This position reports directly to the Manager of the HAZMAT Program and may have dotted-line reporting to managers in other programs. The standard work schedule is 8 hours per day, 5 days per week, totaling 40 hours per week. Ready to make an impact?
