Job Summary The Medical Staff Coordinator provides support to the organized Medical Staff via meeting management, practitioner credentialing and re-credentialing. Essential Duties Meeting Coordination Coordinate scheduling of all Medical Staff Committee and Department meetings, Service Line pre‑meetings, and other ad‑hoc special meetings. Deliver electronic meeting notices, prepare agendas, and upload documents to Diligent Board books. Transcribe minutes, track attendance, maintain 12‑month hard copy archives, and submit meeting summaries and approval items to the Medical Executive Committee. Attend file review meetings, department huddles, and other required gatherings. Privileging, Proctoring, FPPE, and OPPE Track proctoring/FPPE for new providers and expanded privileges. Track OPPE and competencies for allied health professionals. Process additional privileges, changes, transfers, temporary requests, provisional reviews, and proctoring releases. Maintain credentialing database, update information post‑board approval, and prepare monthly reports. Participate in facility/credentialing preparation for site visits and surveys. Ensure confidentiality, accuracy, and security of all data records. Miscellaneous Functions Onboard new physicians and allied health professionals. Authenticate provider access for Imprivata. Cover office functions as needed. Respond to requests for proctoring summaries, affiliation verification, and activity reports. Provide customer service to callers and visitors per KNOWN Standards. Perform continuing education to maintain required hours and certifications. Qualifications Required Qualifications High school diploma or equivalent. At least 2 years of administrative/office support experience in an acute care or large healthcare organization. Excellent written and verbal communication skills. Strong interpersonal skills for interaction with peers, patients, physicians, and other stakeholders. Knowledge of Joint Commission standards, Title 22, CMS regulations, medical staff principles, and related legal concepts. Preferred Qualifications Associate’s or Bachelor’s degree in a related field. Five years of experience as a medical staff services professional. Medical Staff Services certification (e.g., Valid CPCS or CPMSM by NMSS or equivalent experience). Required Licenses/Certifications Fire Life Safety Training (Los Angeles City). If no card upon hire, one must be obtained within 30 days and maintained until renewal.
