Accounts Receivable Specialist

Position Summary

We are seeking a detail-oriented and organized Accounts Receivable Specialist to join our accounting team. The ideal candidate will be responsible for managing customer accounts, processing invoices, following up on outstanding balances, reconciling accounts, and assisting with collections.

The successful candidate will be comfortable working in a fast-paced environment , handling a high volume of transactions, and communicating professionally with customers and internal departments.

Experience in the produce, food distribution, agriculture, or wholesale industry is a plus, but is not required.

Key Responsibilities

• Process and issue customer invoices accurately and in a timely manner.
• Monitor customer accounts and follow up on past-due balances.
• Perform daily and monthly account reconciliations.
• Post and apply customer payments to the appropriate accounts.
• Research and resolve billing discrepancies, short payments, credits, and deductions.
• Communicate with customers regarding invoices, payments, account balances, and discrepancies.
• Work closely with Sales, Operations, Shipping, and Accounting to resolve customer account issues.
• Maintain accurate and organized customer account records.
• Prepare aging reports and assist with collection activities.
• Investigate and resolve unapplied cash and payment discrepancies.
• Process credit memos, adjustments, and account corrections as needed.
• Assist with month-end closing and AR reporting.
• Maintain confidentiality of financial and customer information.
• Perform other accounting and administrative duties as assigned.

Qualifications

• 2+ years of Accounts Receivable, billing, collections, or related accounting experience preferred.
• Strong attention to detail and accuracy.
• Excellent organizational and time-management skills.
• Strong communication and customer-service skills.
• Ability to research discrepancies and resolve issues independently.
• Proficiency with Microsoft Excel and Microsoft Office.
• Experience with accounting or ERP software preferred.
• Ability to work effectively in a fast-paced, deadline-driven environment.
• Ability to handle multiple priorities while maintaining accuracy.

Preferred Experience

• Experience working in the produce, food distribution, agriculture, wholesale, or related industry is a plus.
• Familiarity with produce/food distribution billing, customer deductions, credits, freight charges, or short-payments is highly desirable.
