This role provides essential support to daily operations by assisting with scheduling, client correspondence, data management, and acting as a central point for information flow. Responsibilities include:Serve as primary contact for multiple accounts, responsible for onboarding new accounts, data entry of purchase orders, generating Proforma Invoices and shipping documents.Anticipate and support account requests, tracking activity and following up to ensure timely and effective resolution.Support clients in both English and Spanish throughout the business, operational and technical conversations both verbally and written, or through Teams. Handle administrative tasks such as mailings and documentation to ensure timely distribution of materials to clients and internal teams. Work with Export Manager to create and maintain Marketing Promotions for our international clients.Secure documentation needed for Product Registration.Work with our internal Legal department to secure agreements and other legal documents for customers.Manage the printing, organizing, and filing of file shipment photos and other documentsLiaison to our Warehouse, Production and Operations teams to ensure fulfillment of orders based on inventory and delivery windows.Work closely with cross-functional teams to ensure efficient account management and timely processing of orders and requests.Maintain departmental SOPs and customer lists.Prepare courier documents for international shipmentsOrganize and prepare material packages for international trade showsDaily use of Excel to prepare weekly/monthly sales reports/spreadsheets, and forecasts to analyze account performanceQualifications:Bachelor 's Degree in Business Administration or related field preferred.Proven experience in administrative or operations role, ideally within account management, sales support or customer service.Strong organizational skills with a focus on maintaining accuracy and efficiency in administrative tasks.Must have a strong proficiency with Microsoft Excel and MS Office Suite, including data analysis, reporting and document preparation. Ability to prepare Excel ad-hoc reports.
