Hours vary based on a rotating schedule. The hospital is open Monday 8:30 AM – 7:00 PM; Tuesday–Thursday 8:30 AM – 5:00 PM; Friday 8:30 AM – 5:00 PM (extended to 7:00 PM during July and August); and Saturday 8:30 AM – 4:00 PM.ResponsibilitiesGreet and check in clients and patients, verify and update medical records, and confirm appointment details using practice management softwareAnswer and manage a multi-line telephone system, responding to inquiries regarding appointment scheduling, prescription refill requests, vaccination records, and general hospital informationPerform client check-out, including processing payments, posting charges, explaining invoices, and scheduling follow-up appointmentsCommunicate medical information, diagnoses, and care instructions accurately and compassionately, including in emotionally sensitive situations such as euthanasia scheduling and end-of-life discussionsMaintain accurate electronic medical records (EMR) and ensure timely data entry in the veterinary practice information management system (PIMS)Coordinate with veterinarians, veterinary technicians, and support staff to relay client communications, flag urgent cases, and maintain efficient patient flowMaintain cleanliness and organization of the reception area and waiting room to ensure a positive client experienceQualificationsMinimum 1 year of experience as a veterinary receptionistExperience with veterinary practice management software; Cornerstone preferredExperience coordinating domestic and international pet travel, including USDA health certificates and endorsements, is highly preferred.Knowledge of veterinary medical terminology, vaccination protocols, and basic diagnostic proceduresProficiency in appointment scheduling, multi-line phone management, medical records management, and payment processingProven customer service skills; ability to manage high-volume client relations with composure and accuracyStrong verbal and written communication skills, including active listening and conflict resolutionComfortable handling animals of varying sizes, breeds, and temperaments, including fearful or reactive patientsAbout White Oak Veterinary ClinicWhite Oak Veterinary Clinic is a full-service, state-of-the-art veterinary hospital treating dogs, cats, and exotic pets from the White Oak, PA community and surrounding area.
