Program Manager Job Description Position Title Program Manager Reports To Deputy Director Supervises Program Coordinator(s), PT Program Facilitator(s), PT Training & Education Contractor(s) Position Overview As an operational leader in programming, the Program Manager (PM) executes decisions, tracks resources, and ensures that the team has what they need to implement programming. This position handles the day‑to‑day execution of programming under the direction of the organization’s strategy leaders. This includes scheduling and supervision of program staff, contractors, and volunteers, program promotion and participant recruitment, and programmatic data collection, to ensure seamless operations of grief support services. Primary Responsibilities Operational Under the direction of the Deputy Director, implement quarterly work‑plans by working through and implementing resource checklists, communicating with supervisees for execution of grief‑support groups and series, trainings & education services, community events, and grief resources. Monitors daily operational tasks, ensuring adherence to organizational standards and best practices; implements departmental procedures and identifies opportunities for operational improvement; follows and reinforces established procedures, identifies programmatic challenges, and suggests improvements to leadership based on experiences and observations. Maintains and updates standard operating procedures for group delivery, volunteer management, and participant safety. Manages detailed scheduling of all program coordinators, facilitators, and contractors and programming. Oversees logistics for programming, including 8‑week groups, youth programs, training sessions, and community response initiatives. Ensures program spaces, materials, and resources are prepared and maintained appropriately. Exercise judgment on routine issues (location changes, roster caps, facilitator backups) escalating policy or resource gaps to the Deputy Director. Marketing & Communications Maintain partnerships and coordinate outreach efforts (service‑learning fairs, partner coalitions, community events) to enhance community engagement, forge connections with new audiences, promote program awareness, and participant recruitment. Serve as a program ambassador, share impact stories and data from programming with the leadership and staff for newsletters, social campaigns, and grant narratives. Coordinate with leadership on content calendars and ensure brand voice reflects Hope and grief‑informed principles. HR and Management Model grief‑informed leadership and foster a culture of psychological safety, while championing DEI and staff‑wellness initiatives to nurture a high‑performing, mission‑aligned culture. Recruit, hire, schedule, coach, and evaluate programming staff and contractors, supporting the program team through regular supervision and facilitation of one‑on‑one and departmental meetings. Assigns tasks, provides regular feedback, and conducts performance evaluations; facilitates training for staff on operational procedures and practices; conducts performance evaluations and addresses immediate staffing needs. Programming & Evaluation Manage the planning, scheduling, and execution of programming, volunteer and participant recruitment, and community outreach. Ensure programming meet quality standards, equity targets, and participant objectives laid out in the Program Framework. Facilitates evaluation completion and data collection; compiles programmatic data, attendance records, and participant feedback; generate regular data reports for leadership. Participate in after‑action reviews and implement continuous‑improvement loops so programming evolves with community needs and deepens Understanding. Development & Fundraising Provide timely program metrics, stories, and photos for grant proposals, impact reports, and donor communications. Support stewardship events (e.g., Comfort Food Classic) by coordinating program testimonials and volunteer engagement and appreciation. As requested, attend donor site visits to illustrate impact first‑hand and cultivate a sense of Belonging for supporters. Financial Monitors and manages departmental budget related to program initiatives and supplies, ensuring adherence to fiscal policies. Ensures accurate tracking of expenditures and processes invoices timely. Approve invoices and ensure fiscal stewardship in alignment with donor and grant restrictions. Qualifications Bachelor’s degree in social work, nonprofit management, or related field, or minimum of three years in operational or logistical management roles. Demonstrate grief‑informed, conflict management, interpersonal, communication, and problem‑solving skills for interacting effectively with staff, clients, and community partners. Demonstrated experience supervising teams and managing multiple program streams. Excellent organizational and multitasking skills, able to manage multiple priorities simultaneously, while executing day‑to‑day operations anchored by strategic goals. Experience with Microsoft Office 365, Donor Perfect, QuickBooks, Qtego, JotForm, Adobe, Squarespace is a plus. Job Type Fulltime, benefits eligible Compensation $60,000–65,000 Working Conditions Office‑based role with primary working hours during 8:00AM to 5:00PM Monday to Friday. Some evenings and weekends required. Flexible schedule offered at employee and supervisor’s discretion. Routine physical demands include lifting up to 25 pounds, operating office equipment, sitting, standing, walking, and typing.
