Office Manager

Summary The Office Manager is an individual contributor who serves as the operational and administrative center of gravity for the AV Production organization, with coordination reach across Studio Blue and Alford Media. This role keeps the leadership team running smoothly — owning the people-facing programs, administrative coordination, and cross-functional connector work that enables the business to operate with consistency and care. This is not a passive support role. The Office Manager exercises independent judgment, manages multiple programs simultaneously, and acts as a trusted presence for employees and leaders alike. The role reports to the Director of Strategic Planning & Operations and works within a network of regional and branch-level professionals, providing guidance and coordination without carrying formal direct reports. This position will support our Audio Visual and Event Technology team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week. The ideal candidate will be based out of any of the following locations: Dallas, TX Orlando, FL Essential Duties & Responsibilities Provide light administrative support to the AV Production leadership team, including travel coordination and meeting logistics as needed Coordinate off-site meetings and larger leadership gatherings, including FLC departmental meetings, the January off‑site, and events of similar scope — managing venues, logistics, and communications end-to-end Partner with peer administrative and operations professionals across the enterprise on corporate‑wide initiatives Oversee the employee engagement calendar for the AV Production organization, programs to include: Employee Appreciation Week, holiday events, monthly engagement touchpoints, safety and performance celebrations Provide guidance and coordination to the branch‑level network, ensuring consistency in programming standards across locations Support the annual awards process — employee recognition, branch awards, and milestone acknowledgments — in close partnership with leadership Manage the uniform voucher program and branding coordination across all locations — owning vendor relationships, order fulfillment tracking, and compliance with brand standards Serve as the primary administrative point of contact for branding‑related needs across AV Production, Studio Blue, and Alford Media Maintain vendor relationships and ensure timely, accurate execution of uniform and branding orders Serve as the administrative connector for onboarding and offboarding activity across the AV Production organization — coordinating with regional teams and HR to ensure smooth transitions Ensure new hires have what they need on day one: access, equipment, orientation logistics, and a warm welcome Flag and route offboarding needs in a timely manner, serving as the organizational point of continuity when employees exit Education & Experience Bachelor’s degree preferred, High School Diploma or Equivalent with relevant work experience required 5+ years of experience in office management, administrative operations, or a comparable people‑and‑programs role Experience coordinating employee engagement or recognition programs across multiple locations is strongly preferred Proficiency in Microsoft 365 (Outlook, Teams, SharePoint, Excel, PowerPoint) Prior experience working in a matrixed, multi‑location organization preferred Familiarity with HR processes and comfort serving as an informed connector to HR functions Highly organized with strong attention to detail and the ability to manage multiple concurrent programs without losing quality People‑first orientation — genuinely cares about the employee experience and brings warmth and professionalism to every interaction Discreet and trustworthy — handles sensitive information with sound judgment and confidentiality Proactive and reliable — anticipates needs, follows through consistently, and surfaces issues before they escalated Network‑savvy — builds trust with branch coordinators, HR partners, vendors, and leadership peers to get things done across organizational lines Comfortable managing ambiguity and shifting priorities in a fast‑paced, multi‑brand environment Travel Requirements Travel up to 25% What We Offer Medical, Dental, Vision Insurance Tuition Reimbursement Paid Parental Leave Life, Accident and Disability Retirement with Company Match Paid Time Off Diversity Commitment At The Freeman Company, our commitment to diversity and inclusion is helping us to create not only a great place to work, but also an environment where our employees, our customers and our communities around the world can reach their goals and connect with each other.
