Operations Coordinator — Commercial Painting

Finishing Touch Plus is a commercial painting contractor in St Paul, MN. We are hiring an Operations Coordinator to be the operational hub of our office — the person who keeps paint and wallcovering submittals moving, builds the daily crew schedule, and makes sure our project managers are never waiting on materials, approvals, or paperwork.

This job is genuinely two halves. Most of it is project coordination. The rest is running the office — answering the phones, keeping supplies stocked, running the weekly meeting, and planning company dinners and client events. Both halves are core to the role, not occasional extras, so please read the full list below before applying.

You will work directly with our project managers, our ownership team, Sherwin-Williams, general contractors, and designers. If you like owning a process end to end and being the person everyone comes to for an answer, this is a good fit.

What you’ll do

Scheduling

•     Build and manage the daily crew schedule in WorkMax for housing authority and commercial projects

•     Collect scheduling needs from project managers each afternoon and publish the following day’s schedule

•     Load new properties and projects into WorkMax

Paint and wallcovering coordination

•     Open new job accounts with Sherwin-Williams and route their invoices to the right project manager

•     Assemble paint and wallcovering submittal packages

•     Order paint drawdowns and wallcovering samples, and get them to the right GC or designer

•     Track approvals so every submittal is signed off before a project starts

•     Place wallcovering orders, receive deliveries, and verify pattern, quantity, and dye lot against the order

Billing support

•     Review completed unit turns in WorkMax to confirm scope performed and materials used

•     Prepare billing packets for approval before invoices go out

Project closeout

•     Request custodial and warranty documentation from Sherwin-Williams at project completion

•     Assemble and distribute closeout packages

Travel coordination

•     Source and book crew housing for out-of-town projects

•     Arrange rental vehicles and flights as needed

Office and team support

•     Answer all incoming calls and serve as the front of house for the office

•     Keep office and kitchen supplies stocked and reorder before anything runs out

•     Own the weekly meeting: prepare the agenda, set up the conference room, take notes, and follow up on action items

•     Plan company dinners, client events, and employee outings

What we’re looking for

•     2+ years in a coordinator, administrative, or expediting role — construction, painting, or a related trade strongly preferred

•     Comfortable juggling a dozen open threads and keeping every one of them moving

•     Strong written communication; you will be the company’s voice to vendors, GCs, and designers

•     Proficient with Microsoft Office or Google Workspace and quick to learn new software

•     Detail-oriented enough to catch a wrong wallcovering pattern before it reaches a job site

•     Valid driver’s license

Nice to have

•     Experience with WorkMax or a similar field management platform

•     Familiarity with submittals, drawdowns, and closeout documentation

•     Prior work with Sherwin-Williams or comparable suppliers

Schedule and pay

•     Location to be - 595 Randolph Ave St Paul, Minnesota 55105

•     In office, Full time, hourly, Monday through Friday, 8:00 AM to 5:00 PM

•     $31.25 per hour — $65,000 per year at 40 hours per week

•     Overtime paid at time and a half for hours worked over 40 in a week
