The Role The Client Service Associate plays a central role in delivering an exceptional client experience while keeping the practice organized, efficient, and compliant. This individual serves as a key connection point between clients and the internal team, ensuring that every detail is handled with care and nothing falls through the cracks. This is a newly created position driven by team growth and increasing client service needs. This role is ideal for someone who takes pride in being organized, detail-oriented, and responsive, and who finds fulfillment in supporting others and delivering a high level of care in every interaction. Key Responsibilities Day-to-day responsibilities include: Communicating with clients via phone and email to answer questions and provide support Account opening and ongoing maintenance Scheduling and preparing for client meetings Conducting research and gathering necessary information Tracking tasks and ensuring timely follow-through Collecting and organizing outstanding documents Managing meeting close-out, including follow-up and next steps Additional responsibilities: Managing advisor and team calendars Maintaining detailed and accurate records within the CRM system Supporting office compliance requirements Coordinating workflow between clients and team members Identifying opportunities to improve processes and enhance the client experience Utilizing technology to improve efficiency and effectiveness Qualifications & Experience 3-5 years of experience in a client service role Other relevant backgrounds may include banking, insurance, wealth management or accounting Associate’s degree or higher is required Strong written and verbal communication skills High level of organization and attention to detail Ability to manage multiple priorities and meet deadlines Demonstrated comfort with technology and ability to learn new systems quickly Preferred: Experience with CRM systems and electronic document management Familiarity with financial custodian platforms Culture & Values The team is intentional about both client service and internal collaboration.
