Summary
Public Health - Seattle & King County Emergency Medical Services (EMS) Division seeks to fill an Administrator I (Regional Quality Improvement (RQI) Administrator) position within the Regional Quality Improvement Section. The EMS RQI section is responsible for various data, research and technical programs for the region, including managing the regional Cardiac Arrest Surveillance System, performing data analysis related to medical and operational QI projects, conducts grant related research programs, and supports other EMS and Public Health teams with EMS related data integration.The EMS Division provides core regional services essential to delivering the highest quality out-of-hospital emergency care across King County. The division partners with 25 first responding EMS agencies staffed by more than 4,500 EMTs and paramedics who respond to more than 255,000 EMS patient care incidents annually. Additional partners include regional dispatch centers, hospitals, mobile integrated healthcare programs, private ambulance providers, and community organizations serving more than 2.3 million residents across King County. Work Schedule Typical work schedule is Monday through Friday from 8:00 am to 5:00 pm - 40 hours per week. This is a non-exempt position and is subject to the provisions of the Fair Labor Standards Act and is overtime eligible. Remote and Onsite Work The EMS RQI team works in a hybrid model, with days in the office as well as telecommuting. The ratio of remote to onsite work will be dependent on business needs and is subject to change. The primary onsite location is located at the Chinook Building located at 401 Fifth Avenue, Seattle, WA 98104 .
Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. King County has a robust collection of tools and resources to support working remotely. The individual selected for this opportunity will join an innovative and progressive team that is redefining how we work as we transition to the department's hybrid environment. Employees will be provided with a County-issued laptop and must maintain a home workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. ROLE OF THE EMS RQI- ADMINISTRATOR I The EMS RQI- Administrator I will primarily focus on clerical duties such as correspondence, mailings, fulfilling data requests, and assist in monitoring systems and resources that support regional EMS quality improvement activities. The role works regularly with EMS data systems and projects to assist with organizing, retrieving, and distributing information used for research, evaluation, and system monitoring. This position will work closely with Regional QI staff and other EMS partners to support the efficient operation of section activities by assisting with administrative processes, coordinating meetings and communications, maintaining shared resources such as SharePoint sites, and assisting in maintaining policies and procedures within RQI for internal and external data requests and KCIT standards. This position will also assist in maintaining templates and preparing reports that will help ensure regional EMS data and operational information remain organized and accessible. This position will also oversee ordering computer equipment, software and additional supplies while monitoring RQI expenditures. In addition, they will assist in event preparation, asset management within RQI and oversee record retention policies and procedures. This position is expected to stay updated on HIPAA compliance standards and understand the sensitivity of data involved within RQI. The position reports to the Regional QI Section Supervisor and is expected to work onsite Tue, Wed, Thur, and periodically travel throughout the region as needed. This role will be expected to work independently while maintaining consistent communication with section supervisor and FAIII on deadlines and project status.
Job Duties
The RQI Administrator supports the Regional Quality Improvement Section by coordinating administrative activities and assisting with data requests, system documentation, and operational tasks that support regional EMS research, evaluation, and system monitoring.- Provide administrative and operational support to Regional QI programs and CEEMS, by assisting with routine activities related to data collection, logistics for regional ESO training, CEEMS led programs and events, analysis preparation, and system monitoring efforts.
- Assist in monitoring data systems used to support section activities, including escalating concerns to appropriate staff for troubleshooting and resolution.
- Assist the section with clerical and administrative functions , including preparing correspondence, mailings, collecting and organizing meeting notes, submitting service requests, and maintaining documentation for RQI teams.
- Support Regional QI staff in the collection and organization of data used for research, evaluation, and analysis projects by retrieving information from internal and partner data systems.
- Maintain and update Regional QI SharePoint sites and shared resources, ensuring documentation, reference materials, and program information remain organized and accessible to RQI staff and partners.
- Coordinate and support section and regional meetings, including scheduling meetings, preparing materials, distributing communications, and assisting with meeting logistics.
- Assist with fulfilling data requests from the Medical Examiner's Office (MEO) and other EMS sections by retrieving and compiling relevant information from available systems and sources.
- Retrieve operational data from regional communication centers, including Computer-Aided Dispatch (CAD) data, to support Regional QI program monitoring and evaluation activities that collaborate with other sections.
- Maintain and update contact information for regional ESO administrators and other EMS partners to ensure accurate communication and coordination across agencies.
- Provide data related assistance to EMS agencies seeking Regional QI information or data, helping coordinate requests and connecting agencies with appropriate resources or technical guidance when needed.
Experience, Qualifications, Knowledge, Skills
Our ideal candidate will demonstrate the following (Minimum):- Experience providing administrative, program support, or customer service coordination in an office, service, healthcare, or operational environment.
- Experience organizing, retrieving, or maintaining information from databases, spreadsheets, or other operational data systems.
- Experience coordinating administrative activities such as scheduling meetings, maintaining documentation systems, preparing correspondence, or responding to requests for information.
- Experience using personal computers and common workplace software such as Microsoft Office, Outlook, Project management software, or similar collaboration tools.
- Demonstrated ability to organize information, manage multiple tasks, and produce accurate results while meeting deadlines.
- Demonstrated ability to communicate effectively and consistently with all RQI teams and agency partners as needed.
- Ability to learn new software applications and operational systems quickly.
- Experience reviewing and validating data for accuracy, completeness, or inconsistencies.
- Experience working across multiple systems or datasets to compile or reconcile information.
- Intermediate proficiency with Excel or similar tools (e.g., formulas, filtering, data organization).
- Experience supporting recurring program workflows, reporting cycles, or operational processes.
- Experience maintaining structured shared resources or knowledge systems (e.g., SharePoint or similar).
- Experience coordinating work across teams or external partners to support requests or deliverables.
