Print Production Coordinator

We are seeking a highly organized Production Coordinator to help move customer requests efficiently from initial intake through scheduling and execution. This position requires someone who can quickly understand customer needs, organize specifications, manage competing deadlines, and catch potential issues before work moves forward.

Responsibilities

• Review incoming customer requests and translate them into clear, actionable job requirements.
• Gather and organize key specifications, quantities, dimensions, materials, deadlines, and other information needed to complete each order.
• Identify missing, conflicting, or unclear information and coordinate with internal teams to resolve issues promptly.
• Manage multiple active requests while maintaining accuracy in a high-volume environment.
• Track deadlines and coordinate priorities based on required completion dates, processing time, and delivery needs.
• Monitor upcoming workload and communicate potential scheduling or capacity concerns.
• Maintain accurate order, scheduling, and project information within spreadsheets and internal systems.
• Verify order information is complete and accurate before work advances to the next stage.

Qualifications

• Prior experience supporting customer orders, production workflows, order coordination, or a similar operational environment.
• Demonstrated ability to interpret customer requests and convert them into organized requirements or work instructions.
• Strong organizational ability and attention to detail, including identifying incomplete or inaccurate information.
• Proven ability to manage competing priorities and deadlines in a fast-moving, high-volume setting.
• Strong understanding of deadline management, including working backward from required completion or delivery dates.
• Comfortable using Excel and existing spreadsheets without disrupting formulas or established data structures.
