Job Description

Process clerical material, including typing and filing program and administrative correspondence.
Compile statistical data for monthly reports.
Maintain and track petty cash, Runaway and Homeless Youth stipends, and program fees.
Distribute checks and perform all other appropriate banking duties.
Manage the program fee component of Efforts-to-Outcomes (ETO) agency-wide database program.
Create information packets and maintain materials for distribution to outside youth service providers to cultivate potential referrals.
Coordinate program events, including setting up for meetings, ordering food, and reserving van usage.
Purchase and maintain inventory of office, kitchen, and new intake supplies.
Process incoming and outgoing mail, which includes using a postage meter.
Maintain office equipment.
Create welcome packets for all new intakes.
Coordinate with IT department the creation/deletion of username and passwords for new residents and staff.
Field phone calls and emails regarding inquiries about intake to the program.
Interface with Breaking Ground site managers and staff regarding building maintenance and communicate building concerns and issues to GSS Facilities Director.
Assist in overseeing the turnover of vacant apartments and completion of work orders.
Schedule bi-annual quad deep cleaning and fire extinguisher checks.
Maintain inventory of keys.
Support the use of Sanctuary Model tools such as safety plans, community meetings and self-care in the department/program to create a non-violent and trauma-sensitive culture.
Promote and model the seven Sanctuary Model commitments to create a non-violent and trauma-sensitive culture.
Integrate the Sanctuary Model SELF (Safety, Emotional Management, Loss and Future) framework into daily practice to ensure quality care and an effective work environment.
Participate in regularly scheduled program fire drills. This requires having to climb five flights of stairs to ensure the evacuation of all 40 units and shared spaces.
While on shift alone, or with other staff, be able to work through emergencies, which place the participants and other staff members at risk. Such emergencies include but are not limited to fires, gas leaks, earthquakes, power loss, city wide emergencies, etc. This work includes communicating with security, staff and residents what the emergency is and what actions need to be taken. Evacuating all 5 residential floors (40 units total) including the shared spaces on the main floor and the cellar. Assisting security with identifying that all participants and staff have been evacuated to the proper emergency meeting points.
Perform other duties as assigned.

Qualifications

High School Diploma or GED required.
Clerical work experience in a non-profit organization preferred.
Excellent verbal, written, and organizational skills required.
Must have excellent clerical and computer skills, as well as the ability to handle multiple tasks simultaneously.
Flexible hours to insure access and availability.
Must have a clear understanding of the needs of young adults experiencing homelessness and a sensitivity to ethnic and cultural differences, and an understanding of the needs of the LGBTQ community.
Must have a commitment to work from a strength-based, youth and family development and trauma-informed perspective.
Must be able to provide first aid.
