Job Title: Medical Admin/Clinic Concierge About Root Whole Body Health: Root Whole Body Health is a multidisciplinary wellness clinic committed to whole-person care through integrative medicine, functional nutrition, acupuncture, massage therapy, and spa services. Position Overview: We’re seeking a warm, detail-oriented Medical Admin/Insurance Verification Professionalto serve as a critical liaison between patients, the clinic, and our outside billing firm.This isa great role for someone who can balance people-centered communication with precision and accountability. The ideal candidate is friendly and approachable, yet highly organized and data-driven—comfortable tracking metrics, verifying details, and following up consistently. They are also skilled in navigating sensitive billing conversations and resolving conflicts in a way that protects both the client relationship and the clinic’s financial health. The Medical Admin/Insurance Verification Professional serves as a guide throughout the customer journey—from new patient check-in and insurance benefit verification to ensuring all paperwork is completed in advance and helping patients navigate what their insuranceultimately covers. They respond to questions or concerns with calm, patience, and compassion—supporting clarity and trust at every step. Key Responsibilities: Scheduling & Patient Flow Sweep schedules daily to ensureoptimalbooking. Onboard new patients and ensure completion of all intake steps. Patient Communication & Collections Makecollection calls and follow up with patients via email. Respond to billing and insurance inquiries with professionalism and care. Document patient interactions in our CRM/billing systems. Coordinate with our external billing partner for resolution of account issues. Revenue Cycle & Billing Support Upload patient payments to our Zoho portal weekly. Reconcile daily copay collections with scheduled appointments. Scan and upload EOBs, EOPs, and insurance documents daily. Flag and escalate accounts with outstanding balances Insurance & Claims Coordination Verify insurance eligibility for newand returningpatients. Escalate insurance appeals and denials. Support documentation and communication for denied claims. Administrative & Cross-Functional Support Maintain digital records and follow internal documentation procedures. Partner with the Accounting Director to support financial reporting. Identify and suggest improvements to operational processes. Performance Goals (KPIs): Increased provider ease in managin new/existing patients Increased patient satisfaction/trust with our processes Increase in monthly collection rates/ reduction in aging collections Increasing capacity of clinic 45-60 days out Qualifications: 3-5 years inamedical admin orbilling role Working knowledge of insurance billing and collections processes Excellent communication and problem-solving skills ProficiencyinMindBody Office Ally (preferred)or similar scheduling platforms Organized, self-motivated, and team-oriented Why Join Us?
