Job Title: Operations Manager

Location: Houston, TX

Pay: $36.00 - $46.00 / Per hour, DOE

Employment Type: Contract-hire

Job Duties:

• Manage compliance for restricted, endowed, quasi-endowed, and current-use funds, ensuring activity aligns with donor intent, gift agreements, institutional policies, and applicable regulatory and accounting requirements.
• Oversee charitable registrations, required filings, documentation, certificates of good standing, vendor coordination, approvals, and fee processing.
• Maintain donor privacy, consent, communication preferences, cybersecurity, and data-handling standards in partnership with IT, Legal, Finance, and Philanthropy leadership.
• Develop reports, dashboards, segmentation, and targeted lists to support fundraising, campaigns, stewardship, and leadership decision-making.
• Analyze CRM data to identify donor trends, prospect opportunities, retention risks, upgrade potential, and data-quality issues.
• Monitor CRM and fundraising metrics and recommend improvements to data accuracy, reporting, efficiency, and overall data utilization.
• Serve as the primary administrator and operational owner of the fundraising CRM, overseeing data standards, user support, reporting, list management, system configuration, and issue resolution.
• Evaluate and improve CRM workflows, processes, and system functionality to support fundraising campaigns, appeals, events, donor pipelines, internal controls, staff adoption, and long-term data strategy.
• Develop and maintain SOPs for CRM use, data integrity, gift entry, reporting, reconciliation, and cross-functional requests.
• Partner with Finance to establish funds, communicate fund terms, reconcile gift and fund activity, and maintain accurate donor and fund records.
• Ensure the accuracy and integrity of donor, gift, fund, biographical, and other CRM data.
• Translate business and fundraising needs into effective CRM workflows, reports, dashboards, lists, and data solutions.
• Serve as a strategic CRM and data partner to fundraisers, Marketing, Annual Giving, Stewardship, Finance, IT, Legal, and external vendors.
• Provide guidance and support on CRM processes, reporting, data integrity, and fundraising operations.
• Contribute to a positive working environment within the Office of Philanthropy while handling confidential information appropriately.
• Work effectively both independently and collaboratively, demonstrating strong attention to detail, sound judgment, and flexibility.

Education & Experience

• Associate or Bachelor’s degree in data management, information systems, nonprofit management, business administration, or a related field preferred.
• 4–5 years of progressive experience supporting and administering CRM systems, preferably in philanthropy, advancement, nonprofit, or healthcare environments.
• Demonstrated experience with data governance, reporting, process improvement, database administration, and cross-functional workflows.
• Experience providing work direction, supervising staff, or leading significant cross-functional initiatives strongly preferred.
• Strong CRM, data analysis, reporting, and advanced Excel skills, with the ability to translate data and process issues into actionable recommendations.
• Experience with Virtuous, Raiser’s Edge, Salesforce/NPSP, or similar CRM platforms strongly preferred.
• Experience with Power BI, Tableau, or similar reporting tools is a plus.
