Order Management Specialist

Pay: $27–$29 per hourBenefits: Health, Dental, Vision, Life Insurance, Paid Time OffWork Location: In person (Lake Forest, CA)Schedule: Full-time (40 hours/week)Job Type: Contract-to-hireJob SummaryWe need a friendly and helpful Administrative Assistant to join our team. You will answer phones, help customers, and make sure orders are done the right way and on time. You will talk with people inside the company and outside the company.What You Will DoAnswer phone calls and send them to the right person.Check orders to make sure they are correct, including:Customer purchase ordersOpen order reportsCustomer websites/portalsCreate invoices and take credit card payments.Enter customer orders, confirm orders with customers (phone or email), and share special customer needs with the warehouse/floor team.Help keep customer files updated (contact lists, parts lists, routing guides, etc.).Keep the main schedule updated (what needs to ship, what shipped, what was invoiced).Update the daily work schedule with the supervisor/manager and join meetings when needed.Process online orders from start to finish (check inventory, help with packing, invoice, give order updates).Help process returns when a manager approves it.Help with long-term projects (new customer setup, new part checklists, improvements, program changes).Create sales reports (daily, weekly, monthly, quarterly, and yearly).Help with year-end tasks (holiday projects, filing, reports).Help with yearly inventory counts.Do general office work like filing and scanning.Do other tasks as assigned.What We’re Looking ForYou are organized and pay attention to details.You can talk politely and clearly in person, on the phone, and by email.You can handle more than one task at a time.You can work alone and also work well with a team.You can learn company rules and follow them.You can stay calm and set priorities when things get busy.You can read, write, speak, and understand English.Experience / Education2–3 years of related work experience.College degree is preferred but not required.Physical / Work RequirementsSometimes lift or carry up to 10 lbs.Mostly sitting in an office for 5–6 hours of the workday.Sometimes walk between nearby company locations.Sometimes walk in or near a warehouse area.Use a computer and phone during the day.Computer SkillsMicrosoft Word, Excel, PowerPoint, OutlookGoogle Drive (Docs, Sheets)Nice to have: HubSpot, Sage, SharePoint, Adobe, Squarespace#MS-OCADMIN #J-18808-Ljbffr Marquee Staffing
