Workplace & Engagement Assistant (f/m/d)

We are looking for a hands-on, creative, and people-oriented Workplace & Engagement Assistant (f/m/d) to join our Munich team . In this role, you will be at the heart of our office operations, keeping things running smoothly, creating a welcoming environment, and helping to bring our IDnow culture to life.

You will also play a key part in an exciting upcoming office relocation in Q1 2027, making this a unique opportunity to shape the future of our Munich workplace.

Key Responsibilities

• Support all operational tasks related to our upcoming office relocation, including both the preparation and execution of the move 
• Provide on-site supervision of contractors and suppliers during the fit-out phase (technical trades,furniture, painters, and renovation works) 
• Maintain operations at the current office as needed during the transition period-two locations will need to be managed simultaneously 
• Remain on-site at the existing office location after the move to oversee contractually obligated reinstatement and maintenance works 
• Keep our Munich office running smoothly by supporting day-to-day operations — from assembling furniture and managing deliveries and outgoing shipments to handling ad hoc tasks 
• Ensure tidiness and cleanliness of all common areas, including coordination with our cleaning company 
• Play an active role in maintaining a safe, compliant, and welcoming office environment in line with IDnow’s standards, including work regulations and occupational health & safety requirements (e.g. DGUV testing) 
• Be a reliable on-site point of contact for employees, helping to address and resolve workplace needs quickly and professionally 
• Bring your own creative ideas to the planning and execution of internal events, team gatherings, and community activities that strengthen IDnow’s culture 
• Actively contribute to a positive workplace atmosphere in Munich through fresh ideas for employee engagement and internal communication initiatives 
• Get involved in global workplace and community projects as needed 

Preferred Experience

• 2+ years of experience in office management, workplace experience, community management, event management, or hospitality 
• Hands-on attitude with a practical, can-do mindset — comfortable rolling up your sleeves when needed 
• Strong communication and interpersonal skills 
• Excellent organisational abilities and attention to detail 
• Proven ability to manage multiple tasks independently in a fast-paced environment 
• Experience in planning and executing events or community activities, with a flair for creative ideas 
• Fluent in German and English 
• Must be based in Munich with regular on-site presence required 
• Experience with office relocations is a plus 
• Background in tech, fintech, or scale-up environments is a plus
