Verum Cutis Dermatology is a privately owned dermatology practice located in Leesburg, Virginia. We provide comprehensive medical, surgical, and cosmetic dermatology services with a focus on high-quality patient care.

We are seeking an experienced, organized, and motivated Practice Manager to oversee daily operations, support our clinical and administrative teams, and contribute to the practice's continued success.

The ideal candidate is a proactive leader with a strong understanding of medical practice operations, financial management, and employee supervision. This individual should be comfortable managing multiple responsibilities, making independent decisions, and working directly with the physician-owner to improve operational efficiency, financial performance, and the overall patient experience.

Key Responsibilities

Practice Operations & Leadership

• Oversee daily practice operations to ensure efficient workflows and coordination between clinical and administrative departments.
• Provide leadership, guidance, and support to clinical and administrative staff.
• Collaborate with the physician-owner and department leads to establish operational priorities, address challenges, and implement improvements.
• Evaluate existing workflows, identify inefficiencies, and develop solutions to improve productivity and practice performance.
• Monitor key operational indicators, including patient volume, provider productivity, scheduling efficiency, and resource utilization.
• Maintain and update practice policies, procedures, and operational guidelines.

Financial Management & Revenue Cycle Oversight

• Oversee the financial operations of the practice, including accounts payable, expense management, budgeting, and cash flow monitoring.
• Review financial reports, reconcile transactions, and identify opportunities to improve financial performance and control operating costs.
• Coordinate with external accounting and billing teams to ensure accurate financial reporting and revenue cycle processes.
• Monitor accounts receivable, collections, insurance reimbursement, and outstanding claims.
• Evaluate vendor costs, service agreements, and purchasing decisions to support responsible financial management.

Human Resources & Staff Management

• Oversee employee recruitment, interviewing, hiring, onboarding, and offboarding.
• Manage employee scheduling, staffing coverage, attendance, and time-off requests.
• Oversee payroll processing, timekeeping, and employee benefits administration.
• Conduct performance evaluations, address employee concerns, and manage disciplinary matters when necessary.
• Promote accountability, effective communication, and a positive, collaborative work environment.
• Support employee training, professional development, and retention efforts.

Compliance & Administrative Oversight

• Ensure compliance with HIPAA, OSHA, and applicable federal and state healthcare regulations.
• Oversee provider credentialing, licensing, and renewal processes in coordination with external partners.
• Maintain relationships with vendors, service providers, and other business partners.
• Oversee medical supply purchasing, inventory management, and equipment maintenance.
• Address escalated patient concerns and support timely, professional resolutions.
• Ensure accurate documentation and maintenance of required administrative and operational records.

Qualifications

Required:

• Minimum of 3 years of experience in medical practice management, healthcare operations, or a comparable healthcare leadership role.
• Demonstrated experience supervising employees and overseeing daily administrative operations.
• Strong understanding of medical billing, insurance reimbursement, and revenue cycle management.
• Experience with budgeting, expense management, financial reporting, and accounts payable.
• Knowledge of healthcare compliance requirements, including HIPAA and OSHA.
• Strong leadership, organizational, communication, and problem-solving skills.
• Ability to manage competing priorities, work independently, and make sound operational decisions.
• Proficiency with electronic health records, practice management systems, and Microsoft Office applications.

Preferred:

• Bachelor's degree in Healthcare Administration, Business Administration, or a related field.
• Previous experience managing a privately owned or outpatient specialty medical practice.
• Dermatology or other specialty practice experience.
• Familiarity with ADP and QuickBooks
• Experience developing operational policies, improving workflows, and monitoring practice performance indicators.

Compensation: Based on experience, qualifications, and performance-based progression.
