About the Role:

PTI is seeking a Fleet Coordinator to support vehicle maintenance, vendor coordination, and fleet reporting across its network. Our fleet includes minivans and SUVs used by field teams across multiple states.

You will help branches coordinate repairs, review maintenance estimates, and identify opportunities to control costs while keeping vehicles available for service. Mechanical experience is strongly preferred because this role requires understanding repair recommendations, asking informed questions, and challenging unnecessary work or unreasonable pricing. Vendor experience, basic fleet or inventory experience, and strong computer skills are also important.

What You Will Do

• Coordinate with branch locations and repair vendors to address vehicle maintenance and repair needs.
• Gather information about vehicle issues and use mechanical knowledge to help evaluate recommended repairs.
• Review vendor estimates for accuracy, necessity, and pricing; question unsupported recommendations and identify appropriate savings opportunities.
• Build productive vendor relationships and negotiate repair and maintenance costs, including evaluating used-parts options when appropriate.
• Oversee PTI’s 3R review process for large mechanical expenses.
• Analyze maintenance spending to identify unusual costs, budget discrepancies, and savings opportunities.
• Prepare and distribute daily spending figures, month-to-date updates, monthly maintenance budget reports, and required financial reports.
• Analyze vehicle utilization and maintain accurate vehicle records in Chevin FleetWave and other required systems.
• Assist the Fleet Director with placing vehicles into service and retiring vehicles from the fleet.
• Support special projects and continuous improvement efforts.
• Complete at least 10 hours of work-related training annually, maintain reliable attendance, and perform other assigned duties. Travel may be required based on business needs.

Required Qualifications

• High school diploma or equivalent.
• Experience working with vendors.
• Basic fleet or inventory experience.
• Proficiency with computers and business software.
• Strong problem-solving, organization, and attention to detail.
• Ability to review estimates and spending information, recognize discrepancies, and communicate findings clearly.
• Ability to communicate effectively with field employees, vendors, and internal teams.
• Ability to physically work in and around vehicles.

Preferred Qualifications

• Mechanical experience, particularly automotive repair or collision experience, is strongly preferred.
• Ability to discuss vehicle symptoms, understand repair recommendations, and challenge estimates constructively.
• Experience coordinating vehicle repairs, negotiating vendor pricing, or reviewing maintenance costs.
• Proficiency with Microsoft Office, particularly Excel.
• Familiarity with Chevin FleetWave or another fleet management system.
