Title: Senior Executive Assistant

Location: Onsite in Secaucus, NJ (United States)

Employment Type: Contract (4+ months)

Pay Rate: $56/hour

Our client is seeking an experienced Senior Executive Assistant to provide high-level administrative, operational, and project support to the Head of Engineering. This is a highly visible role requiring exceptional judgment, discretion, organization, and the ability to anticipate executive needs while managing competing priorities in a fast-paced environment.

Responsibilities:

  • Provide comprehensive executive support to the Head of Engineering, including complex calendar management, scheduling, meeting coordination, and daily prioritization.
  • Exercise independent judgment when managing competing requests, resolving scheduling conflicts, and determining appropriate priorities and escalations.
  • Serve as a trusted point of contact for internal and external stakeholders, including managing sensitive communications and confidential information with a high degree of discretion.
  • Coordinate domestic and international travel, accommodations, transportation, itineraries, and expense reporting.
  • Prepare correspondence, agendas, presentations, reports, itineraries, and other materials for executive meetings and business activities.
  • Coordinate meetings from end-to-end, including conference rooms, AV requirements, catering, hospitality, visitor registration, and external guest logistics.
  • Attend meetings as needed, capture meeting notes and action items, and track deliverables and deadlines to ensure follow-through.
  • Support large-scale company events, department offsites, programs, and other special initiatives, coordinating registrations, travel, vendors, equipment, supplies, catering, and other logistical requirements.
  • Partner cross-functionally with teams including Events, IT, Security, and other internal stakeholders to ensure seamless execution of meetings and programs.
  • Handle special projects and additional responsibilities as directed by the Head of Engineering.

Qualifications:

  • Bachelor's degree required.
  • 7+ years of experience providing executive-level administrative support, preferably within a fast-paced corporate, technology, media, entertainment, or similarly complex environment.
  • Proven experience supporting senior executives, ideally at the VP, C-suite, or department-head level.
  • Demonstrated ability to independently manage complex calendars and competing priorities while exercising sound judgment.
  • Strong experience coordinating executive travel, meetings, events, and large-scale department activities.
  • Advanced proficiency with Microsoft Office, including Word, Excel, and PowerPoint, as well as calendar-management and other productivity tools.
  • Comfortable leveraging AI and automation technologies to improve administrative workflows and efficiency.
  • Ability to work independently, manage multiple projects simultaneously, and consistently meet deadlines.
