Staff Accountant/Payroll SpecialistPosition: Staff Accountant/Payroll SpecialistSummary of Responsibility: The Staff Accountant and Payroll Specialist is responsible for maintaining financial records, preparing reports, reconciling accounts, and processing payroll accurately and on time. This dual-role position requires strong attention to detail, knowledge of accounting principles, and comprehensive understanding of payroll regulations and best practices.Staff Accountant Areas of Responsibility:Prepare bills and invoices for sales or services rendered in a timely mannerProcess customer invoices for approval and submission in customer portals or through e-mail in accordance with corporate policies and proceduresEffectively communicate with vendors and other customers regarding outstanding invoices and paymentsCollect accounts by sending bill reminders and communicating with customersRecord payments by entering them into a ledger or accounting softwareAccounts receivable accruals to recognize revenue for month end closeReconcile bank accounts and general ledger accounts to ensure accuracy and completenessGenerate monthly, quarterly or annual financial statements, reports, and analysis detailing paid and unpaid invoices and other accounts receivable activityHelps maintain daily cash flow reports for financialsHelp ensure compliance with applicable standards, rules, regulations, and systems of internal controlAssist with audits and tax preparation by providing supporting documentation and analysisPrepare and analyze accounting reports to track receivables performance and trendsJournal entries in accounting system as needed/directedMaintaining factored invoices and their payments as well as any reserves coming in/going outIdentify and resolve accounting discrepancies and irregularitiesControl all invoice portals to include set up and maintainPayroll Specialist Areas of Responsibility:Processes semi-monthly payroll and unscheduled payrolls, as needed, in ADP & UnanetActs as the Time System AdministratorEnters new employees and employee changes into ADP and Unanet including classification and pay, exemptions, benefit elections, deductions, paid time off, and all other payroll requirementsReviews and processes semi-monthly time sheets for completeness and accuracy within multiple departments ensuring accurate reporting by employees and department in compliance with Defense Contract Audit Agency (DCAA) standardsAssists in the preparation of all federal and state wages reporting on a quarterly and annual basisSet up new states payroll tax accountsMonitor and submit Labor Cost Post after Payroll is completed each periodAdminister Retirements Funds (401K) for the company and reconcile for every Pay periodPrepare and distribute paychecks or direct deposit statementsPrepare and distribute payroll reports and tax documents (e.g., W-2s)Record, classify, and summarize financial transactions and events in accordance with generally accepted accounting principlesApplies a working knowledge of applicable laws and regulations; verify documents for completeness and compliance with government and private agenciesImprove the efficiency of the department by actively looking for opportunities to reduce non-value-added work by proposing process improvementsRespond to employee inquiries regarding payroll and resolve discrepanciesEnsure compliance with federal, state, and local payroll regulationsCollaborate with HR on employee status changes, benefits, and leave trackingReporting Requirements: This position reports directly to the Financial ManagerEducation and Experience Requirements:Proficient in Microsoft Office Suite to include Excel, Word, Power Point, and QuickBooks/other accounting softwareBachelor's degree in business or accounting preferred, or the equivalent combination of education, training and experience3-5 Years Payroll Experience in a dynamic, fast-paced environment3-5 Years' experience with ADP Workforce NowEqual Opportunity Employer: K2 Solutions, Inc. is an equal opportunity employer and does not discriminate against any employee or applicant for employment based on race, color, religion, national origin, age, gender, sex, ancestry, citizenship status, mental or physical disability, genetic information, sexual orientation, veteran status, or military status.Disclaimer: The above statements are intended to describe the general nature and level of work being performed by people assigned to this employment classification.
