Catering Services Office Manager

Position: Catering Services Office Manager Location: Kravis Events (West Palm Beach, FL) Job Responsibilities:
- Prepare Banquet Event Orders, Floorplan Diagrams, Seating Charts, and Other Applicable Sales and Catering Operations Documents as Directed from the Sales Team
- Update Banquet Event Orders, Floorplan Diagrams, Seating Charts, and Other Applicable Sales and Operations Documents Directed by Clients via Detailing Communication Through Email, Event Programs, Phone Calls, or Site Visits
- Support Catering Sales and Operations Teams by Communicating with Clients as Needed
- Support Clients by Communication Interdepartmentally with Catering Sales, Catering Operations, Culinary, Intermission Bars, and General Manager
- Answer Phone Line to Assist Callers with Lead Inquiries, General Property Information, Billing Inquiries, and Any Other Reasons for Calling
- Organize and Process Catering Event Billing Including but Not Limited to: Deposits, Final Invoices, and All Necessary Follow-up Requirements
- Manage Daily Operations of the Office Including: Event Billing, Vendor Invoice Management, Employee On-boarding, Payroll Submission, and Other Tasks Assigned
- Review and Upload Vendor Invoices Through R365
- Daily Sales Summary Balancing Through R365 to Include All Appropriate Document Uploading and Verifying
- Perform Bank Deposit Drops as Needed and Entering Deposits into Appropriate Accounting Programs
- Assist With the On-boarding Process of New Employees in Our ATS and On-boarding System
- Work with HR/Payroll Manager to Ensure All Time and Attendance Information is Accurate to Ensure Weekly Payroll is Submitted on Time and Without Incorrect Data
- Communicate with Corporate Offices Regarding New Vendors, Insurance Forms, Permit Information, and other Licensing and Certification Documents as Needed
- 1-3 years’ experience in Catering Service Management, Catering Operations, and Catering Administration
- 1+ years’ experience in Office Administration or similar position (preferred)
- Strong computer skills: Microsoft Office products (Word, Excel, Gmail)
- Preferred experience in TripleSeat, AllSeated, ADP, Restaurant365, Toast POS, WeddingWire, The Knot, Microsoft Office. Microsoft 365
- Effective Interpersonal and Customer Service Skills
- Excellent Organization Skills With the Ability to Prioritize Multiple Tasks Simultaneously
- Excellent Oral and Written Communication Skills
