SPECIALIST: FACILITIES

Designs, furnishes and equips the interiors of new schools, office buildings and renovation projects, and assists with facility design and construction in accordance with interior design, furniture and equipment requirements.


ESSENTIAL FUNCTIONS:

• Creates and presents furniture layouts for spaces and discusses and prepares equipment bid specifications.
• Determines color schemes, begins purchase order process or bid preparation and evaluation.
• Coordinates deliveries of all furniture and equipment and vendors in accordance with contractor's completion schedule.
• Checks project status, reviews construction drawing regarding space utilization in accordance with master plan guidelines.
• Sets up meetings with appropriate department to discuss type of project, furniture and equipment budget, guidelines for spending funds, etc.
• Checks construction time lines to determine ordering dates and coordination of move-in date in relation to other projects.
• Attends building committee/planning meetings when request to share planning, budget information, furniture and equipment, interpret drawings, etc.
• Checks final drawings for owner provided items and prepares orders such as telephones, computers, cabling, mini-blinds, carpet, additional electrical, appliances, etc.
• Updates budget data as ordering takes place, reviews budget with Facilities Planning architects as needed and reviews with principals.
• Schedules meetings and prepares instructions for APS personnel that are being relocated.
• Orders packing materials, boxes, tape, etc., and schedules walk-through with moving vendor for estimate costs.
• Checks and approves all vendor invoices for goods and services provided for start-up of new facility.
• Inspect installation of furniture/equipment or related work and oversees correction of deficiencies.
• Assists purchasing in bid evaluations for furniture and equipment to be provided to new as well as existing facilities.
• Prepares reports, cost proposals for existing facilities, new facilities or recently completed facilities to assist in budget preparation.
• Designs interiors for new schools, office buildings and renovation projects.
• Assists Cluster Teams (Architect, Construction Manager, Cluster Technician) in the design and construction of facilities in accordance with interior design, equipment and furniture requirements.
• Manages small interior remodels for existing facilities.
• Serves as District on call expert with regard to interior remodels, furnishings, equipment and moving.
• Serves as District liaison with other school districts within the state.
• Works with contract architects to design and construct facilities in accordance with interior design, furniture and equipment requirements.
• Authors specifications to be used in Bid and Request for Proposal documents for furniture, equipment and services to be purchased by District.
• Evaluates Bids and Requests for Proposals and recommends award.
• Interfaces with site administrators, contractors, architects, parents and Maintenance & Operations regarding interior remodeling, furniture, equipment and moving.
• Maintains professional competence through individual and staff training, in-service educational activities an self-selected professional growth activities.
• Conducts and/or attends staff meetings and participates on committees within area of responsibility.

PREFERRED KNOWLEDGE, SKILLS, ABILITIES AND EXPERIENCE:

• Knowledge of APS community, computer system, financial and legal requirements.
• Knowledge of word processing, database and spreadsheet software.
• Knowledge of Computer Automated Drafting (CAD).
• Effective communication skills, both verbal and written.
• Flexibility, organization, decision-making and problem solving skills.
• Interpersonal skills with diverse populations in-person and on the telephone.
• Ability to meet deadlines, work on multiple projects and coordinate the work of others.
• Critical decision making to convey accurate information ensuring essential deadlines are met.
• Independent thinking and judgment in handling deviations outside the defined policies and procedures.

REQUIREMENTS:

• Bachelor's Degree in Business Administration or related field.
• Four years facility management or related experience with drafting, interior design and accounting.
• Knowledge of construction process and start-up of new facilities.
• Knowledge of varied type/style of furniture and equipment that pertain to district curriculum for primary and secondary education, administration and maintenance of facilities.
• Knowledge of procurement laws and accounting principals.
• Ability to read, interpret construction documents and contracts and write and interpret specifications, evaluate bids, space planning and interior color section and maintain project financial budget data.
• Ability to mange multiple projects in varying states of completion.
