Job Summary The Circuit Court for Baltimore City is seeking an experienced, energetic, and motivated Secretary with strong administrative, communication, interpersonal, organizational, and computer skills. The Secretary will be a team player, detail-oriented, and able to multitask, supporting the Associate Administrator of the Juvenile Division. Essential Functions Types correspondence, reports, and other documents as required. Orders supplies and materials. Coordinates activities with the Administrative Office regarding any personnel-related issues. Receives incoming calls and assists court-related agencies, attorneys, and the general public as needed regarding court policies, procedures, and operations. Schedules meetings (via Zoom or Teams), prepares agendas, and reserves appropriate meeting space. Assists in a variety of duties related to the court case management system (E-Quest), including creating, maintaining, and monitoring user identification profiles, preparing statistical reports, and training new users. Assists with special projects for the Associate Administrator as required. Minimum Qualifications Education: High school graduation with four years of professionally responsible experience in legal secretarial, legal stenographic, or closely related fields is required. Knowledge of the Maryland Electronic Courts (MDEC) system is desirable. Preference for a B.S. or B.A. degree in public or court administration or a paralegal degree with three years of legal secretarial experience. Experience: Must work well independently and exercise discretion and judgment in complex situations. Excellent PC, typing, and Microsoft Word skills are required. Must possess a proficient knowledge of grammar and usage, spelling, punctuation, and vocabulary. Preferred previous experience as an assistant to a person in a managerial position, with at least five years of experience. Knowledge, Skills, and Abilities Work full-time, 8:00 a.m.–5:00 p.m., Monday–Friday, with flexibility for early or late activities. Maintain a regular, punctual, and reliable attendance record. Set priorities, process multiple tasks simultaneously, and maintain a professional demeanor when interacting with court personnel and the public. Utilize the Odyssey Case Management System. Make decisions based on established policies, procedures, and good judgment. Develop and maintain collaborative working relationships with court personnel and the public. Handle sensitive and confidential situations independently with high interpersonal skills. Communicate effectively, orally and in writing, exercising judgment, tact, diplomacy, and competence in dealing with judges, attorneys, court personnel, and the public. Exhibit excellent telephone manners and maintain a calm disposition when dealing with the public. Know standard secretarial office procedures and standard office equipment operation. Additional Information Background Check: Eligible candidates under final consideration for appointment to positions of trust must complete authorization for a Criminal Background Check and/or Fingerprint screening. Probation: All persons, including current City employees, selected for this position must complete a 6-month mandatory probation.
