ABOUT MAINE NEEDS Maine Needs is a community fueled resource center in Portland Maine. We accept gently used and new essentials that no one should ever go without; winter gear, clothing and shoes that fit, tents, sleeping bags, warm bedding, towels, kitchen essentials, cleaning and toiletry supplies, diapers, books and toys. Over 900 providers from over 300 organizations submit requests to fulfill the basic material needs of families and individuals throughout all of Maine. Over 6000 volunteers a year show up to shop the space and meet the needs of our community. We depend on organized, reliable volunteers and staff who keep our space running smoothly and our community supported. POSITION SUMMARY The Program Support Coordinator is responsible for the day-to-day functioning of Maine Needs — supporting and overseeing the needs and inquiries of shift leaders & volunteers, ensuring donations are sorted and meeting quality standards, and that requests are filled accurately and efficiently. The Program Support Coordinator is the go-to person for questions and will assist the Operations Director and Volunteer Program Manager in communicating to volunteers, shift to shift. A typical day includes doing a walk-through with the morning team and setting priorities, inspecting, sorting and managing donations for quality, keeping workspaces organized, and working alongside teammates to keep everything running smoothly. At Maine Needs, we put a lot of care into what we pass onto others and this starts at the door. On donation days the Program Support Coordinator is the person greeting our donors. They welcome donors in and sort through the donations as they are being dropped off. They are well resourced and ready to thoughtfully reinforce what we take, what we don’t and give clarifying explanations. For the items we don’t take, they are ready to provide suggestions of other places to donate. This is a people-first role that requires flexibility, genuine warmth and the ability to operate in a dynamic environment. KEY DUTIES & RESPONSIBILITIES Morning walk-through with Operations Director & Volunteer Program Manager to set priorities for the day. Act as a constant, go-to presence for volunteers throughout each shift, answering questions and providing guidance. Delegate tasks alongside the Volunteer Program Manager to keep shifts running smoothly. Oversee and support shift leaders throughout each shift to ensure smooth operations. Act as a host to volunteers and providers picking up orders, ensuring a friendly, meaningful experience. Assist in training new volunteers on procedures, safety, and expectations. Welcome donors in, sort donations and perform quality control at the donation door, ensuring items meet Maine Needs' standards. Assist in intake of USPS, FedEx, and large deliveries. Lead and maintain a strong focus on sorting incoming donations and accurately filling client/provider requests. Fill in at the provider door to help during busy moments. Maintain a clean, organized, and welcoming space for volunteers and visitors. Communicate any issues, shortages, or concerns to Maine Needs leadership in a timely manner. SCHEDULE Monday – Friday: 7:30 AM – 3:30 PM (±37 hours/ week) IDEAL CANDIDATE Dependable, punctual, and comfortable serving as a steady point of contact for volunteers. Comfortable delegating and guiding volunteers, including new trainees. Organized and detail-oriented, especially when sorting and fulfilling requests. This position is an active position, the ideal candidate is able to lift 35lbs and spend a full shift on their feet. Thrives in an ever-changing dynamic environment.
