Event Operations Coordinator

Title: Event Operations Coordinator Employee Status: Seasonal Full Time Work From Home Option: Not Applicable FLSA Status: Non-Exempt Job Overview The New York Racing Association is seeking a detail-oriented and highly organized Event Operations Coordinator to assist with the oversight of live racing operations. This role will play a critical part in ensuring seamless day-to-day racing operations, pre-meet facility readiness, and the successful coordination of cross-departmental initiatives. The ideal candidate will have experience in large-scale events, live operation environments, with strong project management and administrative capabilities. Essential Functions Event Operations Management Assist with the oversight and preparedness of pre-meet facility build out and overlay, ensuring venue readiness, safety, compliance, and guest experience standards are met. Conduct in-meet daily operational readiness checks to ensure all departments are fully prepared for race-day activities. Coordinate cross-departmentally (Facilities, Security, Hospitality, Sales, Racing Operations, Events/Marketing etc.) to ensure daily operational alignment. Supervise seasonal staff brought on to assist with the execution of daily event activities, including onboarding, scheduling support, and performance oversight. Work cross-departmentally to ensure proper coordination takes place regarding activation spaces. Assist in special event setups and tear downs. Project & Event Oversight Manage multiple operational projects simultaneously, maintaining timelines and deliverables. Administrative & Documentation Handle administrative responsibilities including quote gathering, RFQ/RFP creation and purchase request processing. Develop and maintain meeting agendas and documentation. Track vendor performance, budget and project milestones. Qualifications Bachelor’s degree required. Valid driver’s license. 1-3 years of experience in large-scale event operations. Experience within horse racing or a live sporting venue environment strongly preferred. Demonstrated ability to manage multiple projects in a fast-paced setting. Strong administrative and organizational skills including procurement processes. Excellent written and verbal communication skills. Ability to work on-site with flexible hours including early mornings, evenings, weekends and holidays during live racing and major events.
