Administrative Coordinator I (PV Extension)

Job Title: Administrative Coordinator I (PV Extension) Job Type: Staff | Location: Prairie View, Texas Overview The Administrative Coordinator I provides advanced administrative, operational, and customer service support for the PV Extension Program. The role serves as a key point of contact for internal and external stakeholders, ensuring professional office operations, coordinating administrative processes, supporting program delivery, and contributing to the overall efficiency and effectiveness of Extension services. Responsibilities Provide front‑line administrative support by greeting guests, handling phone calls, assisting visitors, responding to inquiries, and taking messages. Assist with departmental and Extension service delivery to county employees, agents, program staff, and the public, ensuring efficient daily operations and timely support. Organize, maintain, and update electronic and physical filing systems for departmental records, personnel materials, financial records, reports, correspondence, and other official documents to ensure easy access, compliance, and accurate record‑keeping. Support Extension teams in daily operations, internal processes, program support tasks, and special assignments to enhance overall efficiency. Receive, assess, and respond to general and complex questions, concerns, complaints, and service‑related issues from county employees, Extension agents, program participants, and the public, exercising sound judgment and routing complex matters appropriately. Create, edit, and distribute departmental and program communications (memos, letters, emails, announcements, reports, telephone communications) with accuracy and professionalism. Act as a liaison between the PV Extension Program, county offices, internal departments, external stakeholders, and the public to support effective communication and service delivery. Manage purchasing and financial administrative processes, including requisitions, purchase orders, vendor payments, invoice tracking, and related documentation, ensuring accurate, timely transactions in alignment with budgetary guidelines. Maintain and update personnel‑related records and documentation (attendance records, workers’ compensation, employee information) with confidentiality and compliance. Assist with onboarding, employee record‑keeping, administrative forms, and related personnel processes. Maintain accurate program statistics, operational data, and administrative records; prepare detailed reports for planning, analysis, compliance, decision‑making, and program evaluation. Collect, organize, and track data related to program activities, administrative operations, personnel needs, purchasing activity, and stakeholder services. Assist with special projects, operational initiatives, event preparation, data collection, reporting, and process improvement efforts. Provide guidance, onboarding support, or training to administrative, clerical, or temporary support personnel regarding office procedures, document management, customer service expectations, and program support functions. Perform other duties as assigned to support program goals and operational needs. Required Education and Experience Bachelor’s degree or an equivalent combination of education and experience; at least two years of related experience. Required Knowledge, Skills and Abilities Proficiency in word processing, spreadsheet, database, and presentation applications. Ability to multitask and work cooperatively with others. Strong interpersonal and communication skills. Planning and organization skills. Preferred Qualifications Good knowledge of spelling, grammar, and punctuation. Knowledge of office procedures. Ability to perform basic mathematical calculations. Proficiency in operating a personal computer and basic office equipment. Accurate data entry and filing skills. Effective verbal and written communication skills. Independent work and relationship‑building abilities with co‑workers, county employees, and the public. Special Requirements Applicants with equivalent experience in place of a Bachelor’s degree may be considered. Four years of related experience is equivalent to a Bachelor’s degree, and a total of six years of experience is required to meet the equivalency.
