The Coordinator, Media Planning & Payments works in a fun environment with a seasoned, tight-knit, multi-platform planning and buying team and supports different facets of advertising functions, including media payment processing, spend tracking, vendor administration, and coordination across TV, out-of-home, B2B, podcast, and other media activities. This is a great opportunity for someone who is highly organized, detail-oriented, comfortable working with numbers and tracking tools, and interested in gaining exposure to the media planning and advertising process. Prior media, advertising, billing, or invoice processing experience is helpful but not required as training will be provided on the team’s systems and processes.

This position will be based at our West Los Angeles, CA office. We work a hybrid schedule with an in-office requirement Monday-Wednesday and the option to work remotely on Thursday and Friday.

Job Description

• Keep track of all planned media spending and maintain the team's media invoice tracker, ensuring invoices are accurately recorded.
• Process invoices and record payment information in the appropriate tracking tools.
• Partner with the Media, Finance, and Brand teams and external vendors to resolve billing questions, confirm payment information, and support accurate and timely processing.
• Work with new or existing vendors for payment setup; collect and maintain payment documentation, including vendor forms, ACH banking information and W-9s.
• Assist with proof of campaign performance for Out-of-Home, B2B, and Podcast and other media campaigns by tracking and organizing supporting documentation.
• Assist the Media team with Linear TV creative rotations and trafficking by supporting related administrative activity.
• Provide administrative and coordination support across multiple media operations.

Qualifications

• Microsoft Office skills, especially Excel; basic Excel proficiency is required.
• Basic math skills and comfort working with invoices, spend tracking, and payment-related information.
• Strong attention to detail and ability to manage multiple tasks, deadlines and tracking requirements.
• Ready and willing to learn new tools, programs and systems, including finance and media-specific platforms.
• Ability to apply past learning and experiences to new projects and processes.
• Strong written and verbal communication skills and comfort working cross-functionally.
• Organized, dependable, and able to follow established processes while taking ownership of assigned responsibilities.
• Positive, can-do attitude and willingness to learn in a team-oriented environment.
• Associate’s degree or higher or equivalent applicable experience.

Pay Range: $25.00 an hour. Final compensation will be dependent upon skills & experience.
