Assistant Recruiter

Job Title: Recruiter Assistant Location: Hybrid in Chicago IL Duration: 6+ months (possible extension) Pay: $25.00/hr on W2 Description: fully remote, but must reside near Chicago or Richardson in the event a full-time role opens or any onsite training comes up Interview Scheduler – Job Description The Interview Scheduler plays a critical role in supporting the Talent Acquisition team by coordinating interview logistics across multiple departments, time zones, and locations. This role ensures a seamless, positive experience for candidates and hiring teams by managing complex calendars, communicating clearly and professionally, and providing administrative support throughout the hiring process. Key Responsibilities Interview Coordination & Scheduling Partner closely with Recruiters, Hiring Managers, and interview teams to schedule phone screens, virtual interviews, and in-person interviews across multiple locations. Coordinate complex scheduling involving multiple interviewers, panel interviews, and shifting availability. Communicate interview details and expectations clearly to candidates and internal stakeholders. Manage calendar invitations, conference room reservations, virtual meeting links, and follow‑up reminders. Candidate Experience & Communication Serve as a primary point of contact for candidates regarding scheduling, logistics, and next steps. Ensure timely updates and a smooth, positive candidate journey from initial scheduling through final interviews. Respond to scheduling changes or conflicts quickly and tactfully. Required Skills & Qualifications Interview Scheduling Experience Prior experience coordinating interviews across multiple teams, locations, or time zones. Strong ability to navigate and manage competing priorities and shifting schedules. Attention to Detail & Multitasking Exceptional organizational skills with the ability to manage multiple requests simultaneously. High accuracy in managing logistics, documentation, and communications. Communication & Interpersonal Skills Professional and clear written and verbal communication. Ability to interact with candidates, hiring managers, and team members with professionalism, tact, and a customer‑service mindset. Technical Skills Experience with Applicant Tracking Systems (ATS) and HRIS platforms. Proficiency with Outlook or similar calendar/scheduling tools. Comfortable with virtual meeting platforms (Teams, Zoom, etc.) and general office software. Preferred Qualifications Experience supporting Talent Acquisition in a high‑volume or enterprise environment. Familiarity with multi‑location or multi‑time‑zone scheduling.
