Coastline Family Medicine is seeking a reliable, detail‐driven Referral Coordinator to support our team of five family medicine providers and two pediatric providers. This role is essential to ensuring patients receive timely referrals, accurate insurance verification, and efficient communication across the practice.

The ideal candidate is organized, communicative, and comfortable balancing administrative duties with patient interaction in a fast-paced clinical environment.

Responsibilities

• Referral Processing
  • Send referrals to specialists.
  • Confirm specialist offices accept the patient’s insurance before sending referrals.
  • Track referral status, follow up on outstanding items, and maintain accurate logs.
  • Communicate referral updates to patients and providers.
• Fax & Document Management
  • Sort and distribute incoming faxes to the correct provider and/or department.
  • Scan documents into patient charts and create accurate chart notes.
  • Prioritize urgent clinical documents such as consult notes, imaging results, and medication requests.
• Patient & Office Communication
  • Answer and make phone calls to patients, specialists, and insurance companies.
  • Provide friendly, professional face‐to‐face assistance to patients.
  • Support providers and staff with timely communication and documentation.

Qualifications

• Experience in a medical office or referral coordination preferred.
• Knowledge of insurance plans, eligibility, and authorization processes.
• Strong communication skills and a commitment to patient-centered service.
• Ability to multitask with accuracy and attention to detail.
• Proficiency with EHR systems and standard office technology.
