Office Manager Philadelphia Regional Office Position Summary The Office Manager is responsible for leading the daily administrative operations of Battaglia Electric and its affiliated divisions while supporting project management, field operations, accounting, human resources, and executive leadership. This position ensures efficient office procedures, strong communication, accurate documentation, and exceptional customer service across commercial, industrial, utility, and technology projects. The Office Manager serves as a key liaison between Main office and regional office, personnel, field teams, customers, subcontractors, suppliers, and regulatory agencies to support the successful execution of projects throughout the region. Office Administration Oversee all day-to-day office operations and administrative functions. Supervise and support administrative and reception staff. Develop, implement, and maintain company office procedures and standards. Coordinate company meetings, leadership events, and employee communications. Manage office supplies, equipment, vendors, and facility needs. Ensure office spaces remain professional, organized, and representative of the company's standards. Project & Construction Administration Assist Project Managers with project setup, document management, and project closeout activities. Maintain contracts, submittals, RFIs, change orders, purchase orders, and project correspondence. Coordinate communication between project teams, field personnel, customers, and subcontractors. Support scheduling activities and resource coordination across multiple divisions. Maintain project files in accordance with company document control procedures. Permitting & Regulatory Assistance Prepare, submit, and track permit applications with municipalities, utility companies, and regulatory agencies for Battaglia projects. Coordinate inspections and maintain communication with local authorities having jurisdiction. Monitor permit expiration dates and ensure all required documentation is completed and filed. Assist project teams with obtaining electrical, excavation, roadway, utility, and occupancy permits as required. Maintain permit logs and provide status updates to project managers and leadership. Support licensing renewals and compliance requirements for company operations. Work closely with accounting staff regarding accounts payable, accounts receivable, payroll support, and job cost documentation. Review invoices, purchase orders, expense reports, and vendor documentation for accuracy. Assist with monthly reporting, office budgets, and expense management. Support project billing and collection activities when necessary. Human Resources & Employee Support Coordinate employee onboarding and orientation activities. Assist with drug screening and background checks. Assist with benefits administration, training schedules, and company programs. Support recruitment, interview scheduling, and new employee setup. Help ensure compliance with employment regulations, company policies, and union requirements. Fleet, Logistics & Operations Support Coordinate with field operations and logistics personnel regarding vehicle registrations, inspections, and office documentation. Support equipment and fleet recordkeeping. Assist with vendor management and purchasing activities. Maintain office records related to company assets and inventory.
