1 Position: Director of Operations & Administration Location: Cincinnati, OH Organization : Pro Seniors, Inc. Employment Type: Full-Time, Exempt About Pro Seniors Founded in 1975, Pro Seniors, Inc. is an innovative and diverse nonprofit committed to helping older Ohioans resolve legal and long-term care problems and fight Medicare fraud. Pro Seniors’ staff understand the complex issues older adults face. Our expertise allows us to take a comprehensive approach to promoting older adults’ legal rights, access to healthcare and financial security. About the Role We’re seeking a Director of Operations & Administration to strengthen the internal systems that support our staff and programs. This role blends strategic operations leadership with hands-on administrative work in a lean team environment. You will coordinate organization-wide operational systems, office operations, compliance workflows, and process improvements— supporting program and department leaders without directing program strategy or IT systems. Key Responsibilities Maintain and improve internal operational systems, policies, and workflows. Oversee office operations, facilities coordination, supplies, vendors, and daily logistics. Lead operational planning rhythms and staff information flow (procedures, deadlines, logistics). Manage administrative parts of grant compliance and audit-ready documentation. Maintain recordkeeping systems and support risk-mitigation and internal controls. Develop SOPs, streamline processes, and support adoption of standardized workflows. Partner with the IT Director to align technology tools with operational needs (no IT infrastructure responsibilities). Coordinate operational logistics for all-staff meetings and updates. 2 Qualifications Required 5+ years experience in operations, administration, or organizational infrastructure. Strong systems thinking, project management, and workflow improvement skills. Clear communication and cross-functional collaboration abilities. High professionalism, discretion, and organizational judgment. Ability to balance strategic projects with hands-on administrative work. Preferred Nonprofit experience (40+ staff or multi-program). Grant compliance or audit documentation experience. Vendor or contract management experience. Comfort working in a hybrid environment.
