Benefits Medical, dental, and vision insurance AD&D insurance Short- and long-term disability coverage Life insurance 401(k) retirement savings plan with employer match Paid parental leave Paid time off Holiday pay Employee Assistance Program Job Summary The Medical Services Coordinator is responsible for serving as a point of contact to coordinate medical care, providing support to patients and psychiatric clinicians, and ensuring quality customer service to in‑person and remote patients and clinicians. Compensation $19.00 – $20.00 per hour, plus quarterly bonus/incentive potential. Location 575 Lynnhaven Pkwy Suite 305, Virginia Beach, VA 23452 Duties and Responsibilities Operational Excellence Create a positive work environment and support in‑office clinician and staff engagement activities. Provide strong customer service, responding quickly and appropriately to patient needs. Communicate with peers, clinicians, and patients in ways that support patient care and clinician satisfaction. Patient Support Assist psychiatric clinicians with prior authorizations, lab orders, letters, record requests, and coordination of patient forms (e.g., FLMA). Facilitate communication between patient, medical staff, and the patient’s pharmacy. Manage phone systems, answer calls, and provide support for medication questions, refill requests, release requests, appointment reschedules, and other inquiries. Scan all hard‑copy correspondence into the patient’s EHR record. Assist patients with telehealth access, Patient Portal issues, and other troubleshooting. Handle urgent requests, triage patient issues, direct to correct departments, or escalations as needed. Coordinate external referrals for patient care. Clinician Support Provide general clinician support, including administrative questions, issuing letters, faxing, etc. Coordinate with clinicians on additional patient questions. Aid psychiatric clinicians in termination processes for patients when needed. Required Skills and Abilities Ability to multitask and prioritize duties to support delivery of a high‑quality patient experience. Ability to work independently and as a team member. Strong written and verbal communication skills. Proficiency in Microsoft Office and EMR systems. Comfortable handling sensitive and confidential information (HIPAA). Education and Experience High School diploma or equivalent (required). Associate’s or bachelor’s degree preferred. One or more years of experience in healthcare operations, customer service, or a similar role or setting. Organize and pay attention to detail, setting priorities and tracking progress. Resolve conflicts in a constructive manner. Physical Requirements Regularly sit, stand, bend, talk, and hear. Frequently walk and lift or move objects up to 25 pounds. Specific vision abilities: close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
