Jenny Bour with Robert Half is working with a growing company that is looking for a Customer Service Specialist to support daily customer account activity and coordinate essential administrative, shipping, and billing processes. This Customer Service Specialist position plays an important role in maintaining accurate records, preparing transaction documents, and ensuring customer commitments are met efficiently. The Customer Service Specialist the role requires strong attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. This position offers a hybrid work schedule for candidates that can commute to the Getzville, NY office!

Responsibilities:

• Oversee service-related activities for assigned customer accounts and contracts, ensuring timely follow-up and consistent communication.
• Maintain accurate digital records for customers, contracts, and related documentation to support smooth day-to-day operations.
• Review and assign coding for invoices, freight charges, warehouse expenses, and other transaction-related costs.
• Create, process, and organize business documents such as invoices, bills of lading, letters of credit, and shipping paperwork.
• Coordinate with warehouse partners to arrange packaging, blending, and shipment of materials according to customer specifications.
• Obtain transportation pricing from carriers, confirm logistics arrangements, and schedule shipments to meet delivery requirements.
• Investigate service or shipment issues and resolve them by identifying practical solutions and communicating updates to stakeholders.
• Apply product and account knowledge to make informed decisions that align with customer needs and contractual terms.
• Support inventory tracking, assist with account coverage during team absences, and help keep billing and receivable activities current.

• 3-5+ years of professional customer service experience.
• Associate’s or Bachelor’s degree in Business, Accounting, Supply Chain, or a related field is preferred.
• Strong verbal and written communication skills with the ability to work effectively with customers, suppliers, and internal teams.
• Excellent organizational skills with close attention to detail and the ability to manage several priorities at once.
• Comfortable using Microsoft Office applications, including Outlook, Excel, Word, along with messaging and collaboration tools.
• Ability to navigate multiple systems while maintaining accurate online files, contracts, and customer records.
• Basic knowledge of import/export practices and commercial shipping or trading terms is a plus.
