Facilities Specialist

Facilities Specialist Location: Wilmington, MA, USA – Headquarters. As the Facilities Specialist, you oversee the daily operations, maintenance, and security of our facilities, ensuring buildings, grounds, and equipment are safe, compliant, and operating efficiently. You support budgets, supervise maintenance staff, coordinate with vendors and contractors, handle contracts, and ensure compliance with health, safety, and environmental regulations. This role reports to the Real Estate & Facilities Lead. Responsibilities Coordinate and oversee the maintenance of the company’s facilities, including office spaces, robotics labs, production areas, and common areas. Ensure the proper functioning of all building systems (HVAC, electrical, plumbing, etc.). Manage relationships with external vendors and contractors, ensuring timely delivery of services such as cleaning, repairs, and equipment maintenance. Track inventory and order office supplies, cleaning materials, and maintenance parts as needed. Assist in managing the facilities budget, including tracking expenses and recommending cost-effective solutions. Work with the HR, Finance and Operations teams to optimize office layout and space planning based on team needs, new hires, and changing business requirements. Serve as a liaison between internal teams, including Engineering, HR, and Operations, to ensure smooth and efficient facility operations. Qualifications Bachelor’s degree or equivalent experience in Facilities Management, Business Administration, or a related field. Minimum of 2 years of experience in a facilities coordinator or facilities management role, preferably in a technical or industrial setting (robotics, manufacturing, or engineering). Minimum of 3 years of experience in general maintenance, building systems and general maintenance processes (HVAC, plumbing, electrical, etc.). Proficiency with Microsoft Office Suite; familiarity with facilities management software (e.g., OfficeSpace or similar) is a plus. Physical ability to inspect facilities, move equipment, and assist with occasional lifting or arranging of materials. Preferred skill: Project Management, PMP certification, but not required. Position is onsite and based in Wilmington, MA. Environment and Policies Up to 10% travel may be required; employees must have a valid driver’s license and the ability to drive and/or fly to client and other customer locations. Employees are responsible for owning a personal credit card to manage expenses and will be reimbursed on a bi-weekly basis. Base salary range: $29.81 – $41.25 per hour.
