We are seeking a highly organized, detail-oriented Bookkeeper & Systems Manager to join our team. This hybrid role merges hands-on accounting with active operational analysis.

This is not strictly a desk job. You will split your time between office-based accounting and physical inventory verification within our production facility to support our manufacturing operations and forecast inventory demand.

Key Responsibilities

1. Accounting & Bookkeeping

• Own and manage day-to-day bookkeeping functions in QuickBooks.
• Maintain accurate financial records, reconcile accounts, and organize financial documentation.
• Process accounts payable (AP), accounts receivable (AR), invoices, vendor payments, and purchase orders.
• Track costs and margins to assist with month-end reporting.
• Coordinate financial organization directly with company management.

2. Inventory Forecasting & Purchasing Support

• Monitor production projections and ingredient trends to forecast raw material purchasing needs.
• Predict reorder timing for raw ingredients.
• Maintain inventory forecasting spreadsheets tied to gummy and other production schedules.
• Collaborate with management and production staff to set safety stock levels and prevent ingredient shortages.
• Identify inventory discrepancies, unusual usage trends, and purchasing inefficiencies.

3. Spreadsheet Management & Reporting

• Maintain and update forecasting Excel sheets used for production planning.
• Automate reporting workflows by integrating Google Sheets production data.
• Verify manufacturing data entered by production staff for accuracy.
• Migrate data from the Master Projections Sheet into the Weekly Flash Report.
• Build and improve spreadsheets, formulas, and operational reporting systems.

4. Inventory & Operations

• Perform physical inventory checks and reconciliations on raw materials and packaging materials.
• Track ingredient usage and maintain inventory accuracy across QuickBooks, Katana, and internal systems.
• Assist with audit preparation and inventory verification.
• Support production and operations management with administrative and analytical tasks.

Qualifications

• Experience: Previous bookkeeping or accounting experience is required.
• Software: Strong QuickBooks experience is required. Experience with Zoho products is preferred.
• Technical Skills: Advanced Microsoft Excel skills are required, along with experience using Google Sheets.
• Industry Background: Experience in manufacturing, food production, nutraceuticals, or inventory-heavy environments is a major plus.
• Skills: Highly organized, strong time-management, and excellent attention to detail. Must be comfortable working both in an office and inside a production facility.
