Rackley Roofing is looking for a Service Coordinator to join our Knoxville team and help keep our Commercial Roofing Service Department running smoothly.

As a Service Coordinator, you'll be at the center of the action—coordinating schedules, communicating with customers and field teams, maintaining service information, assisting with invoicing, and making sure important details don't fall through the cracks.

What You'll Be Doing

As our Service Coordinator, you'll help connect our customers, field crews, and Service team so work gets scheduled, information gets communicated, and customers receive the service they expect.

Keep Our Service Team Organized

You'll help coordinate the day-to-day activities of the Service Department, including:

• Scheduling and coordinating commercial roofing service calls.
• Helping organize field crew schedules and service priorities.
• Communicating schedule information and changes to employees and customers.
• Maintaining accurate customer and service documentation.
• Entering information accurately and efficiently into company systems.
• Keeping  electronic and physical records organized and accessible.
• Assisting Service leadership with reports, special projects, and administrative needs.
• Helping ensure important tasks and deadlines are followed through to completion.

Take Care of Our Customers

You'll often be one of the people our customers interact with first, which makes you an important part of the Rackley Roofing customer experience.

You'll:

• Communicate professionally with customers by phone and email.
• Answer incoming calls and connect customers with the appropriate team member.
• Help coordinate service requests and customer scheduling.
• Provide customers with timely updates when appropriate.
• Communicate customer needs and concerns to the Service team.
• Welcome and assist customers, vendors, and other visitors.
• Help create a responsive and professional experience from the first call through completion of service.

Support the Business

You'll also help make sure completed work moves through our internal processes accurately and efficiently.

Your responsibilities will include:

• Reviewing service information for completeness and accuracy.
• Assisting with preparing and generating customer invoices.
• Maintaining accurate information within company systems.
• Preparing reports and information for management as needed.
• Communicating with vendors and assisting with documentation.
• Reviewing assigned projects and identifying missing information or outstanding items.
• Supporting Service leadership with administrative projects.
• Helping maintain an organized and professional office environment.

Preferred Education Experience:

• Associates Degree or higher.

All employees: Must represent Rackley Roofing Company, Inc. to customers, vendors, industry professionals, and other RRCI employees in a professional manner at all times.
Requirements:
Required Experience and Knowledge:

• Office Management 2+ Years
• Office Administration: 2+ Years
• Proficiency in Microsoft Office Suite, specifically Outlook, Word, and Excel
• Experience with a CRM system is not required but is beneficial.
• Strong computer, organizational, and writing skills
• Verbally communicate and understand objectives
• Follow all safety procedures
• Adhere to all quality processes
• Bilingual (Spanish) Preferred
