Business Operations Coordinator

Job Description

The Business Operations Coordinator will provide operational and administrative support for a senior leadership team, serving as a key partner in driving day-to-day business operations, governance activities, and project coordination. This individual will be responsible for tracking action items, commitments, and operational priorities across multiple initiatives, ensuring follow-through and visibility on deliverables. The role will support meeting preparation efforts, including agenda development, meeting documentation, action tracking, and coordination of materials needed for upcoming initiatives and leadership reviews. Additionally, the Business Operations Coordinator will maintain and organize SharePoint sites, oversee operational documentation, manage project artifacts, track workflow progress, and help ensure alignment across stakeholders and business functions.

The coordinator will work closely with the Executive Assistant and other operational partners to facilitate organization, communication, and execution across the team. This position requires an individual who can independently manage competing priorities, proactively identify gaps, follow established processes, and engage stakeholders to obtain status updates and drive deliverables to completion. The role will leverage Microsoft 365 tools including Teams, SharePoint, Forms, and Microsoft Project to support operational excellence and project coordination efforts.

Key Responsibilities:

• Track governance activities, operational commitments, and follow-up actions across business initiatives.

• Coordinate meeting preparation, agenda creation, meeting notes, action item tracking, and readiness for upcoming projects and reviews.

• Maintain and organize SharePoint sites, operational documentation, and project repositories.

• Support project and initiative coordination by monitoring timelines, deliverables, risks, and stakeholder dependencies.

• Partner with leadership support staff to ensure operational activities remain organized and on schedule.

• Assist with access management tracking, operational logs, reporting, and workflow documentation.

• Coordinate with internal stakeholders to gather updates and drive completion of assigned deliverables.

• Support process improvement and operational consistency across the organization.

• Work independently while proactively escalating issues, asking questions, and identifying potential roadblocks.

Skills and Requirements

• Bachelor's degree required.

• 4-5+ years of experience in a corporate enterprise environment.

• Experience working in operations, project coordination, business support, program support, or similar functions.

• Strong proficiency with Microsoft Teams, SharePoint, Forms, Microsoft Project, and the broader Microsoft 365 suite.

• Demonstrated ability to work independently, manage multiple priorities, and maintain strong organizational discipline.

• Excellent communication skills with a proven track record of reliability and accountability.

• Ability to work in a hybrid environment, with at least three days per week onsite in Spring, TX. Experience in technology or oil & gas industries
