Job Description This position oversees production coordination throughout the project lifecycle for the Events and Media Production (E&M) team in the Faculty of Arts & Sciences (FAS) Education Support Services. The role manages the team’s two event and media production coordinators, owns the unit’s scheduling and project management environment (including ServiceNow, FileMaker, Farmerswife/Cirkus), and ensures invoicing, reporting, and compliance with Harvard policies. Job‑Specific Responsibilities Manage two Event and Media Production Coordinators, ensuring prompt and effective client support for events, media production, and high‑end event services. Develop processes, workflows, and systems that support unit goals and performance management of direct reports. Assign production requests to coordinators and oversee scheduling of production projects, setting realistic client expectations and booking technical staff. Design, create, and train staff on workflows and systems for field and studio production events. Oversee creation of call sheets and FileMaker job slips to communicate production requirements. Define scope of work for technicians and coordinate live‑stream and live‑caption services. Collaborate with chief engineers, media production managers, and other stakeholders to manage media lifecycle. Ensure all events comply with Harvard’s digital accessibility and data security policies. Serve as the main client point of contact for final media product delivery and manage revisions. Coordinate with the Financial Administrator of ESS on event financials, invoicing, and billing codes. Administer scheduling, staffing, and billing systems; customize solutions; onboard/offboard staff; and generate metrics for ESS leadership. Basic Qualifications 3+ years of relevant experience in event and studio production coordination. Preferred Qualifications Bachelor’s degree in media production or a related field. Understanding of live‑streaming workflows and closed captioning. Experience managing reservation software (Farmerswife, Cirkus, FileMaker) and advanced Excel or Smartsheet. Exceptional verbal and written communication skills. Superior project management and organizational skills. Detail‑oriented, persistent follow‑up, and ability to juggle shifting priorities. Experience managing staff, providing performance feedback, mentoring, regular meetings, and HR collaboration. Additional Information Location: Primarily on‑campus, Massachusetts. Physical requirement: Ability to lift 25 lbs. Hours: 35 hours per week, Monday‑Friday, 9 am‑5 pm. Visa sponsorship: None. Pre‑employment screening: Identity, education verification.
