New Iberia, LA: Flexicrew Technical Services (FTS) is seeking a detail-oriented and professional Executive Assistant/Receptionist to support daily office operations and provide administrative assistance to multiple departments. This position serves as a key point of contact for visitors, employees, and vendors while helping ensure efficient communication, accurate recordkeeping, and organized business processes. The ideal candidate will possess strong organizational and communication skills, a professional demeanor, and the ability to manage multiple responsibilities in a fast-paced office environment.

Essential Duties:

- Perform typing, filing, data entry, and general administrative tasks.

- Answer incoming phone calls and direct inquiries to the appropriate personnel.

- Monitor office supply inventory and obtain supplies as needed.

- Prepare, generate, and distribute reports.

- Assist with special projects and other administrative assignments as required.

- Manage incoming and outgoing mail for the Accounts Payable department.

- Process mail and invoices, ensuring timely and accurate routing to the appropriate departments.

- Set up new vendors and maintain accurate vendor records.

- Coordinate vendor payments to ensure timely processing and payment.

- Schedule checks and payments to vendors and follow up on outstanding payments.

- Develop and maintain positive relationships with vendors to support effective communication and timely resolution of payment issues.

- Create, organize, and maintain a uniform inventory system for more than 200 employees.

- Document meeting notes and distribute them to relevant personnel.

- Identify, analyze, and recommend improvements to administrative processes and workflows to increase efficiency and accuracy.

Requirements/Skills:

- Proficiency in typing, filing, data entry, and general office procedures.

- Excellent verbal and written communication skills.

- Professional telephone etiquette and a welcoming, customer-service-oriented demeanor.

- Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines.

- Strong follow-up skills and the ability to maintain accurate records.

- Ability to handle invoices, vendor information, and payment documentation with accuracy and discretion.

- Proficiency in Microsoft Office applications and general office software.

- Strong problem-solving skills and the ability to identify opportunities for process improvement.

- Ability to work independently and collaboratively in a fast-paced office environment.

- Professional interpersonal skills and the ability to maintain positive working relationships with vendors, employees, and internal departments.

Physical Requirements:

- Ability to sit, stand, and move throughout the workday as needed.

- Ability to use a computer, telephone, and other standard office equipment for extended periods.

- Ability to perform repetitive tasks, including typing, filing, and data entry.

- Ability to lift, carry, and move office supplies, files, and packages as needed.

- Ability to communicate effectively in person and by telephone.
