Marketing/Proposal Coordinator

Position Summary

Epicus Group seeking a motivated, detail-oriented marketing professional to join our team, with a focus on supporting the development and production of high-quality proposals and marketing materials. This role will collaborate with team members to prepare compelling materials for public and private sector opportunities. A core responsibility will be evaluating Request for Proposals (RFP) and Request for Qualifications (RFQ), developing and managing response plans, and creating pursuit specific proposals and qualifications.

The Marketing Coordinator will work with the brand lead to further elevate the firm’s branding—helping to refine messaging, enhance visual identity, and ensure consistency across all marketing material. They will also play an active role in managing the firm’s online presence, including developing engaging social media content and supporting website updates. The Marketing Coordinator will also support marketing strategies, advertising, and PR campaigns, gaining additional exposure to business development activities such as attending BD events and client-facing functions to help expand Epicus Group’s presence in the marketplace.

The ideal candidate is creative, organized, and adaptable, thriving in a collaborative, fast-paced environment where balancing multiple deadlines is key. This role offers the opportunity to grow into a Marketing Specialist/Manager position as the firm expands and may transition into a full-time role in the future.

Key Responsibilities

Proposal Coordination

• Review and analyze RFQ/RFP requirements and manage the qualification and proposal development process through final submission
• Develop tailored narratives with support of the pursuit team, while leading editing, revising project descriptions, resumes, and other content to align with RFQ/RFP requirements
• Attend pre-proposal meetings
• Facilitate kickoff meetings, assign tasks, set milestones, and track progress
• Maintain an organized library of RFP, resumes and project sheet content ensuring easy access to the team
• Track proposal and qualification submissions and coordinate follow-ups with clients to monitor status and next steps
• Maintain and organize marketing data, including resumes and project information, in a centralized library beyond proposal use
• Assist with enhancing marketing material to showcase the firm’s capabilities and services (qualifications, brochures, one-pagers, project sheets, presentations, case studies)
• Pull together the materials needed for the formal presentation. This may include preparing a PowerPoint slide show
• Participate in team brainstorming sessions and contribute creative ideas to elevate marketing efforts

Social Media & Online Presence

• Help brainstorm and create engaging LinkedIn content that showcases projects, people, and company culture.
• Assist with ongoing website content development and management

Qualifications

• Bachelor’s degree in Marketing, Communications, Business, or related field.
• 1-2 years of experience in marketing; background in AEC or professional services marketing is highly desirable.
• Strong attention to detail, organization, and time management; ability to juggle multiple deadlines.
• Strong writing, editing, communication and content development skills.
• Proficient in PowerPoint, Canva, and Microsoft Office Suite, with experience in creating polished presentations and marketing materials; Adobe InDesign proficiency is a strong plus but not required
• Familiarity with proposal platforms (PlanetBids, eBidboard, Public Purchase, etc.) a plus.
• Comfortable working independently as well as in collaborative team environments.
• Proactive, adaptable, and motivated to grow into a future Marketing Manager role.
