About the Role

The Executive Coordinator & EA to the CEO serves as the primary relationship steward for NGF's Executive Membership, a curated tier of the golf industry's most influential organizations, while providing direct administrative support to NGF's President & CEO. This role sits at the intersection of high-touch member experience, data fulfillment, and executive operations, requiring exceptional judgment, discretion, and a proactive approach to managing relationships and priorities across a fast-moving organization.

Executive Member Concierge Responsibilities (60%)

• Serve as the dedicated concierge for NGF Executive Members, managing the full membership lifecycle from onboarding and fulfillment through renewal and retention
• Support the CEO in communicating NGF's research, thought leadership, and industry point of view to the Executive Member community
• Curate and deliver quarterly database updates and tailored data resources to Executive Members in coordination with senior research leadership and the CEO
• Manage Executive Member rosters, contact records, and access credentials in the membership CRM, ensuring accuracy and zero-lapse service continuity
• Oversee billing cycles, renewal notices, and payment follow-up within established timelines; coordinate with the sales team on past-due accounts
• Enroll new Executive Members, establish portal access, coordinate payments, and initiate fulfillment orders in the membership database
• Maintain Executive Member depth charts, logo assets, and state/alpha company listings
• Track and log all member fulfillment touchpoints in the membership CRM opportunity activity records
• Coordinate Executive Member relations around NGF's flagship events (Symposium, Board Meeting, President's Council Retreat), including post-event packages for members who did not attend
• Manage event logistics including contracts, registrations, hotel room tracking, vendor coordination, and attendee reporting for the Symposium, Board Meeting, and PC Retreat
• Oversee NGF Direct email programs (Short Game and Rounds Played), including setup, distribution, database maintenance, and post-send metrics reporting

Executive Assistant Responsibilities (40%)

• Manage and optimize the CEO's calendar, travel, and scheduling across time zones with precision and discretion
• Prepare and organize executive correspondence, presentations, reports, and meeting materials
• Coordinate meeting logistics including agendas, pre-reads, and follow-up actions
• Support expense reporting, travel reconciliation, and administrative financial tasks
• Anticipate executive needs and proactively resolve scheduling or operational conflicts before they arise
• Handle sensitive information with the highest level of confidentiality and professionalism
• Support cross-departmental initiatives and organizational priorities as directed by the CEO
