About the job

We are seeking a proactive, analytical Accounting Associate with a minimum of 2 years of experience in Accounts Payable/Accounts Receivable to join our Accounting Department. We are looking for a professional with a strategic outlook who can take ownership of our Vendor Accounts Receivable lifecycle, with a primary focus on driving collections and managing vendor receivables relationships.

Essential Functions & Key Responsibilities

Invoicing & Reconciliations

• Ensure timely and accurate entering and billing of vendor rebate invoices.
• Match invoices, reconcile vendor statements, and accurately post vendor payments.
• Create and maintain complex Excel spreadsheets to track account statuses and financial data.
• Maintain and organize all vendor billing-related files and records.

Collections & Account Management

• Proactively manage collections on overdue accounts, executing consistent follow-up to minimize delinquency and optimize cash flow.
• Reconcile Vendor AR accounts monthly and provide critical aging reports to internal departments to track collection status.
• Investigate and resolve collection discrepancies by reconciling Vendor AR accounting schedules, making necessary journal entries, and clearing open balances.

Qualifications & Skills

• Experience: Minimum of 2 years of experience in Accounts Payable, Accounts Receivable, or general Accounting.
• Deadline-Driven: Proven ability to work under pressure and strictly adhere to specific financial deadlines.
• Communication & Relationship Building: Excellent verbal and written communication skills. Vital ability to establish and maintain strong working relationships with management, internal teams, and external vendors.
• Technical Skills: Strong proficiency in Excel. Experience with IBM/AS400 systems is a distinct plus.
• Core Competencies: High organizational skills, analytical mindset, and the flexibility to handle other accounting duties as assigned

Education: College Degree or equivalent required.
