PR&D Project Management Specialist

Duties Description

Review, develop, design and prepare Division forms, reports, report covers, templates, brochures, pamphlets, graphics, and illustrations, using JavaScript and/or other high-level dynamic programming languages to develop interactive, animation, and complex features.

Assist with updating and publishing of Division manuals, guides, MOUs, forms, and website.

Prepare or coordinate production of reports and other relevant information.

Prepare written internal and external correspondence.

Routinely review the Division Intranet content for quality and timeliness, compliance with state and Division mandates, to validate links, and make necessary updates.

Review content and associated links submitted by users for consistency with Division publishing standards and philosophy.

Maintain a working knowledge of new and existing publishing and document management systems. Systems may include, but are not limited to: Adobe Acrobat, Kofax Power PDF Advanced, Microsoft Word, Microsoft Teams, WebEx, and SharePoint.

Maintain centralized systems to comprehensively document past, current, and future projects, tasks, events, and work requirements assigned to PR&D.

Assist with project management including monitoring status and progress of projects, tasks, and work requirements, including completed work, pending tasks, risks, dependencies, and other relevant information.

Ensure project tracking, documentation, and records are accurate, current, and organized.

Assist in establishing project governance standards and performance metrics.

Analyze data to support prioritization of projects, identify factors facilitating or inhibiting the achievement of project goals, streamline workflows, and ensure optimal staff utilization.

Support leadership in evaluating PR&D performance, project trends, and operational capacity.

Maintain an organizational portfolio that demonstrates PR&D impact, capabilities, accomplishments, and outcomes.

Provide technical assistance to program managers in implementing new or revised administrative processes.

Perform other duties and assignments as directed by PR&D leadership.

Minimum Qualifications

One (1) year of permanent service in a SG-13 position or higher, OR Four (4) years of experience in a relevant administrative setting. Please note: a Bachelor's and/or Master's degree may substitute for four (4) years of experience. Preference may be given to candidates that can clearly demonstrate: Experience creating and editing forms using Adobe Pro or other comparable software; Having certifications such as PMP, CAPM, PMI-ACP, or having demonstrated project management experience; Proficiency in using Adobe Pro and Microsoft Office Suite; Proficiency in using JavaScript and/or other high-level programming languages. Substantial experience with project management. Minimum qualifications must be met by the time of appointment.
