Product Fulfillment Associate

to support the operational backbone of Decoder Tax and ensure a smooth, professional experience for our customers and internal tax advisors. This role is customer-facing, process-driven, and deeply embedded in our Product team. You’ll work closely with our CPAs, Product Operations Manager, and offshore tax partners to keep plans moving forward, schedules aligned, and information accurate. You’ll be trusted with sensitive communications, have direct exposure to customers, and play a critical role in scaling Decoder Tax efficiently. Benefits & Perks Competitive Compensation + performance based bonuses Comprehensive Health Coverage - Medical, dental, and vision Paid Time Off - Generous PTO, sick days, and paid holidays 401k with Company match (we match up to 4%) Parental Leave - Paid leave for new parents Impact-Driven Culture - Small team, big mission Gym Pass - Company sponsored access to local gyms Free soda and snacks Discounts on Cellular/Wireless bills Robust Employee Resource Program with tele-health and more Requirements Customer & Scheduling Support Manage customer scheduling logistics, including rescheduling discovery and tax review calls on behalf of Decoder Tax CPAs Serve as a professional, customer-facing point of contact for administrative and support-related inquiries Potentially handle inbound support calls related to scheduling, plan status, or next steps Email & Advisor Support Maintain delegate access to CPA email inboxes and manage administrative communications with accuracy and discretion Prepare and organize materials for tax advisors ahead of discovery and review calls Ensure customers and advisors have the correct documentation at the right time Decoder Tax Plan Fulfillment Support the fulfillment workflow for Decoder Tax plans, including tracking progress, updating statuses, and coordinating handoffs Work with offshore CPAs to coordinate inputs, timelines, and deliverables required to build Decoder Tax plans Assist in exporting reports, tracking plan milestones, and ensuring completion accuracy Product Operations & Process Improvement Partner closely with the Product Operations Manager to streamline workflows, reduce friction, and improve scalability Perform accurate data entry and maintain clean, up-to-date records across systems Document administrative processes, SOPs, and workflows clearly and thoroughly Educate internal teams on documented processes and help drive consistent adoption What We’re Looking For Required Qualifications 3+ years of administrative support, operations, or customer service experience Strong customer-facing communication skills (email, phone, and internal coordination) Exceptional attention to detail and comfort handling sensitive information Highly organized, reliable, and able to manage multiple workflows simultaneously Comfortable working with email delegation, calendars, spreadsheets, and internal tools Ability to follow structured processes while identifying opportunities to improve them Preferred Qualifications Experience supporting professional services (tax, legal, financial, or consulting) Familiarity with Salesforce, Google docs/sheets, and reporting exports Experience coordinating with offshore or cross-functional teams Interest in product operations, process design, or operational scaling Physical Requirements: The work environment characteristics and associated physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
