Position Overview The Donor Stewardship Manager develops and manages a comprehensive donor stewardship program for individual donors, recurring donors, tribute donors, family foundations, and other assigned supporters. This person will ensure that gifts are acknowledged promptly and personally, donor interests and communication preferences are recorded accurately, and supporters receive meaningful opportunities to learn about and participate in DBNC’s work. The Donor Stewardship Manager will maintain an assigned portfolio of donors and coordinate personal touches such as thank-you calls, handwritten notes, impact updates, videos, warehouse tours, volunteer opportunities, and invitations to DBNC events. Working closely with the CEO, finance, communications, program staff, branch staff, and board members, this position will help create a consistent and welcoming donor experience across the organization. This is a hands-on, relationship-focused position with no direct reports. Key Responsibilities Donor Acknowledgment and Appreciation Ensure donors receive timely, accurate, and meaningful acknowledgment of their gifts. Develop personalized thank-you strategies based on giving history, gift size, donor interests, tribute information, geographic location, and relationship with DBNC. Coordinate handwritten notes, phone calls, emails, videos, recognition opportunities, and other personal touches. Pay close attention to gifts made in honor or memory of others and ensure tributes are handled thoughtfully and accurately. Create welcoming experiences for first-time donors and consistent appreciation for recurring and long-term donors. Coordinate thank-you outreach from the CEO, board members, staff members, and other DBNC representatives. Ensure all donor outreach, including calls, messages, meetings, and notes, is documented in the donor database. Donor Engagement and Relationship Management Manage an assigned portfolio of donors and develop individualized stewardship plans when appropriate. Build genuine relationships with donors through phone calls, emails, meetings, tours, events, and other personal interactions. Learn about donors’ interests, motivations, preferred communication methods, and connections to DBNC’s mission. Invite donors to visit DBNC warehouses, volunteer, attend events, meet staff, or learn more about the communities their gifts support. Help donors understand the impact of their gifts through stories, data, photographs, program updates, and personal communication. Identify donors who may be ready for deeper engagement and coordinate an appropriate handoff to the CEO or other staff responsible for gift conversations. Support strategies for retaining first-time, recurring, long-term, and previously active donors. Respond to donor questions and concerns with professionalism, warmth, accuracy, and care. Stewardship Program Development Build and maintain an annual donor stewardship calendar with clear communication and engagement touchpoints. Develop stewardship plans for different donor groups, including first-time donors, recurring donors, tribute donors, sustaining donors, major donors, and lapsed donors. Create and maintain acknowledgment templates, welcome materials, donor impact updates, call guides, tour materials, and recognition procedures. Help create consistent donor experiences across DBNC branches and programs. Review current stewardship practices and recommend thoughtful, realistic improvements. Coordinate donor recognition while respecting donor preferences, anonymity requests, and gift restrictions. Assist with donor appreciation events, warehouse tours, small gatherings, and other relationship-building opportunities. Support annual giving campaigns and appeals by coordinating appropriate follow-up and stewardship activities. Donor Data and Reporting Maintain accurate and complete donor records in DBNC’s donor management system. Record donor interests, relationships, communication preferences, tribute information, restrictions, contact reports, and next steps. Work with finance staff to help ensure donor records and gift information are accurate and appropriately acknowledged. Create regular reports identifying first-time donors, recurring donors, lapsed donors, donor anniversaries, significant gifts, tribute gifts, and donors requiring follow-up. Track stewardship activities and help measure donor retention, recurring donor retention, second-gift conversion, completed donor contacts, and other engagement indicators. Use donor data to recommend personalized outreach and identify gaps in the donor experience. Protect confidential donor and prospect information and follow DBNC policies related to donor privacy, data security, and ethical fundraising. Donor Communications and Storytelling Write warm, donor-centered thank-you letters, emails, notes, impact updates, and other stewardship communications. Partner with communications and program staff to gather stories, photographs, data, and updates that demonstrate donor impact. Help translate DBNC’s statewide work into clear and meaningful messages for donors. Ensure donor communications are accurate, personal, mission-centered, and consistent with DBNC’s voice. Coordinate special communications related to donor milestones, anniversaries, tributes, recurring giving, and significant organizational updates. Team Leadership & Collaboration This is not a staff supervisory or department-leadership position. However, the Donor Stewardship Manager will play an important coordinating role across DBNC. The Donor Stewardship Manager will: Partner closely with the CEO on donor outreach, meetings, follow-up, and relationship strategy. Coordinate with finance staff to support accurate gift records and acknowledgments. Work with communications and program staff to develop donor stories and impact updates. Collaborate with branch staff to arrange tours, volunteer experiences, and local donor engagement. Equip board members and staff with background information, talking points, and suggested outreach for donor thank-you calls. Provide clear instructions for documenting donor interactions and follow up to ensure notes are entered consistently. Share relevant donor interests and feedback with appropriate staff while maintaining confidentiality. Contribute to a collaborative culture in which donor appreciation is viewed as an organization-wide responsibility. Qualifications Three or more years of experience in donor relations, donor stewardship, nonprofit development, customer success, account management, community engagement, hospitality, communications, or a related relationship-focused role. Demonstrated ability to build and maintain meaningful professional relationships. Excellent written, verbal, and interpersonal communication skills. Strong organizational skills and consistent attention to detail. Experience using a donor database, customer relationship management system, or similar recordkeeping platform. Ability to manage a portfolio of relationships and complete timely follow-up. Ability to interpret donor information and basic engagement reports. Strong judgment when handling confidential or sensitive information. Ability to work collaboratively across departments and locations. Comfort communicating by phone, email, video, and in person. Ability to travel to DBNC branches, donor meetings, tours, and events as needed. Bachelor’s degree or equivalent combination of education, professional experience, and relevant skills. Preferred Qualifications Experience with recurring giving, tribute gifts, donor recognition, or donor retention programs. Experience coordinating donor visits, volunteer experiences, or appreciation events. Experience writing donor-centered communications and impact stories. Familiarity with nonprofit fundraising ethics and donor privacy practices. Knowledge of North Carolina communities and the nonprofit sector. Don’t meet every single requirement?
