Position Summary The Office Administrator (Bilingual Mandarin) is responsible for overseeing daily administrative operations, maintaining efficient office procedures, and supporting the needs of employees and management. This role requires fluency in both English and Mandarin Chinese to manage correspondence, communicate with internal and external partners, and assist with translation and interpretation as needed. Essential Duties and Responsibilities Oversee and coordinate day-to-day office operations to ensure smooth workflow and productivity. Manage office supply inventory and place orders as needed. Supervise administrative staff and delegate responsibilities appropriately. Maintain and improve office policies, procedures, and administrative processes. Handle incoming and outgoing correspondence, including emails, phone calls, and mail in both English and Mandarin Chinese . Communicate effectively with Mandarin-speaking employees, customers, vendors, and business partners. Translate written communications, reports, presentations, and other business documents between English and Mandarin as needed. Provide verbal interpretation and language support during meetings, conference calls, and business interactions. Organize company meetings, events, appointments, and other administrative activities. Manage office budgets and assist with processing expense reports and invoices. Ensure compliance with workplace health, safety, and security requirements. Serve as the primary point of contact for vendors, service providers, and building management. Provide professional front-office support and ensure a positive experience for visitors and guests. Support leadership and staff with general administrative needs and special projects as assigned. Qualifications Required Skills & Experience Fluency in Mandarin Chinese and English , including reading, writing, speaking, and translating business communications. Proven experience as an Office Administrator, Office Manager, Front Office Manager, or Administrative Assistant. Strong knowledge of office administration practices and basic accounting principles. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Excellent organizational, multitasking, and time management skills. Strong verbal and written communication abilities in both English and Mandarin. Exceptional attention to detail and problem-solving capabilities. Ability to work independently and collaboratively in a professional environment. Education High school diploma or equivalent required. Associate's or Bachelor's degree in Business Administration or a related field preferred. Experience Minimum of 5 years of office administration, office management, or related administrative experience required.
