Position Summary

Valley National Financial Advisors is seeking a motivated and detail-oriented Senior Back Office Operations Associate to join our growing Operations team. This role is ideal for an experienced financial services professional who enjoys improving processes, supporting advisors, and helping drive operational excellence across the organization.

The Senior Back Office Operations Associate will play a key role in supporting day-to-day operations, enhancing workflows, assisting with training initiatives, and contributing to operational projects that support the firm's growth. Essential Duties & Responsibilities

Operations Support

• Manage new account onboarding, account maintenance requests, transfers, and money movement transactions.
• Process client paperwork accurately and efficiently while maintaining compliance with firm and regulatory requirements.
• Monitor operational workflows and follow through on outstanding items to ensure timely completion.
• Serve as a liaison between advisors, custodians, vendors, and internal departments.
• Support advisors and staff with operational questions and service requests.

Process Improvement

• Identify opportunities to improve efficiency and streamline operational workflows.
• Assist with developing, maintaining, and documenting standard operating procedures.
• Support technology enhancements, workflow automation, and operational improvement initiatives.
• Participate in testing, implementation, and training activities related to new systems and processes.

Team Collaboration

• Serve as a knowledgeable resource for operations team members.
• Assist with onboarding and training new employees.
• Promote collaboration and best practices across departments.
• Provide support and coverage across operational functions as business needs require.

Compliance & Quality Control

• Ensure account documentation and operational records are complete and accurate.
• Support internal audits, compliance reviews, and quality control processes.
• Maintain confidentiality of client and firm information.
• Follow established policies, procedures, and regulatory requirements.

Reporting & Administrative Support

• Assist with operational reporting and tracking key department metrics.
• Support special projects and strategic initiatives as assigned.
• Provide recommendations for improving service levels and operational effectiveness.

Qualifications

Required

• Bachelor's degree in Business, Finance, Economics, or a related field, or equivalent experience.
• 3-5 years of experience in financial services operations, wealth management operations, RIA operations, broker-dealer operations, or a related field.
• Strong understanding of account processing, client service operations, and financial industry workflows.
• Excellent organizational skills and attention to detail.
• Strong verbal and written communication skills.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Proficiency in Microsoft 365 applications, including Excel, Outlook, Teams, and Word.

Preferred

• Experience with Tamarac, Schwab Advisor Center, DocuSign, or comparable industry platforms.
• Knowledge of advisory operations and compliance requirements.
• Experience documenting processes and implementing operational improvements.
• Industry licensing or willingness to pursue relevant professional development opportunities.
