Core Values: Accountability Inclusion Integrity Respect Teamwork Transparency Job Type Full‑time Job Description As Clinic Manager, your primary responsibility will be to oversee day‑to‑day operations, ensuring smooth and efficient clinic functioning. You will manage staff, schedule appointments, provide quality patient care, and maintain a safe and secure environment. The Clinic Manager will effectively motivate staff and ensure patients receive the highest quality care. Responsibilities Trains and supervises office personnel Manages efficient and effective scheduling of patients, adjusting as needed Monitors no‑shows and manages call & rescheduling Conducts sessions with patients for reviewing treatment and payment plans Has demonstrated experience and knowledge of scheduling systems Monitors and ensures all systems used in the office are operating at peak effectiveness Has experience building and overseeing a medium to large team of direct reports Facilitates office staff meetings to recognize successes, communicate policy changes, and plan daily & weekly activities Ensures compliance with regulatory procedures Handles patient complaints and provides feedback to providers/assistants on clinical matters Handles equipment and supply ordering or issues Completes monthly, quarterly, and annual operation checklists Provides weekly & monthly reporting to leadership Coordinates training for clinic staff Facilitates monthly meetings for clinical staff Maintains patient data according to regulations and company policies Ensures records are stored securely and comply with privacy and security regulations Manages appearance and functionality of the office Maintains facilities and equipment in accordance with hygiene, safety regulations, including OSHA Monitors and maintains the office budget Participates in marketing events Maintains team members’ weekly schedules Assists TC with welcome calls, lost cases and denied claims Cash handling In the event of traveling to another clinic, performs all duties and responsibilities of the role, including administrative tasks Other duties as assigned Requirements Bachelor’s degree or equivalent 3–4 years of office administration experience 2 years of office management experience Excellent computer skills, including proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Google Suites Work Hours / Location Monday–Wednesday 8:45 a.m.–5:00 p.m. Thursday–Friday 6:45 a.m.–3:00 p.m. 2 Saturdays per month Two 9:45 a.m.–6:00 p.m. shifts per month 2496 Dekalb Ave, Unit B, Sycamore, IL 60178 Travel availability to Algonquin, Rockford, Beloit Benefits (Full‑time employees) Paid training Clinical bonuses Paid time off Holiday pay Medical, dental, vision, and life insurance Accident insurance Short‑term disability Long‑term disability Employee assistance program Health savings account Dependent care account 401(k) and matching Pet insurance Tuition assistance program Identity theft protection MetLife MetLaw legal insurance Transit reimbursement — commuter account Free and discounted orthodontic treatments Salary Pay range: $50,000–$65,000 annually. #J-18808-Ljbffr Orthodontic Experts
