Executive Assistant, Associate

Clearance Ability to obtain a Secret clearance. Must be eligible to obtain a Secret clearance and be able to upgrade to a Top Secret (TS) clearance as required. Education BA/BS required. AA/AS, BA/BS preferred. Citizenship US Citizenship required. Summary The MIL Corporation seeks an Executive Assistant, Associate for our Federal Government client in Washington, DC. The Executive Assistant will provide administrative support to the MIL team and client on the government client's site. This position currently requires a fully on‑site schedule; schedule is subject to change based on company/contract requirements. Responsibilities Serves as the Executive Assistant to the Bureau of Budget and Planning Deputy Director, a Deputy Assistant Secretary of State equivalent position. The incumbent provides support to a Principal-level official. Establishes and maintains contacts with the executive assistants/management support personnel throughout the Department: Maintains the calendar of the Deputy Director. Schedules meetings for the Deputy Director. Proactively searches for upcoming calendar/meeting conflicts and resolves scheduling conflicts. Ensures that materials/documents are prepared and disseminated or obtained in advance of any scheduled meetings. Helps develop and review internal operating procedures to ensure that paper is routed and cleared for external stakeholders in a timely and accountable manner. Provides executive assistant support to the Deputy Director, as required. Processes Action Memos for approval and signature. Keeps the Deputy Director advised of developments and progress of pending issues and collaborates with other BP Front Office staff as needed. Schedules interviews with prospective department employees. At the direction of the Deputy Director, assists other BP/FO staffing planning and coordinating bureau projects and/or processes. Provides office management support services, ensuring that the work environment is professional. Compiles and maintains records of business transactions and office activities, performing a variety of clerical duties. Copies data and compiles/organizes records and reports. Files documents. Prepares agendas for recurring meetings. Schedules meetings/conference calls, coordinates conference room schedules, sets up video conferencing or conference calls when needed. Operates office machines, such as PCs, calculator, photocopy machines, scanning equipment, and fax machines. Takes minutes at meetings and/or briefings. Other duties within the scope of the resulting Task Order as assigned by the COR. Travel None. Required Qualifications 7+ years of relevant experience. A minimum of three (3) to five (5) years of experience in at least one of the following capacities: administrative and executive support services, or office management support services. Ideally, the incumbent will have experience serving as an Executive Assistant to a senior‑ranked government official. Highly proficient with Microsoft Office's Word, Excel, SharePoint, Teams, and PowerPoint. Ability to work both independently and with others. Strong attention to detail. Ability to multi‑task. Work under tight deadlines. Excellent organizational, interpersonal, and communication skills (both written and oral). Desired Qualifications Understanding of how Executive Branch Agencies (e.g., DOS) operate. This estimate represents the typical salary range and is just one part of MIL's complete compensation package. Final salary for this position is determined based on factors such as individual qualifications, education, experience, and contractual limitations.
